Role Overview
Panacea Innovation is seeking a sharp, organised, and discreet Personal Assistant to the CEO and Managing Partner. This is a part-time, high-trust role suited for a professional who thrives behind the scenes, anticipates needs, and ensures operations - both professional and personal - run seamlessly.
You will work closely with the CEO and Managing Partner to manage time, priorities, communications, and logistics in a fast-paced, multi-stakeholder environment. The position offers a rare opportunity to be embedded within a high-growth, high-impact venture capital platform that partners with leading scientists, investors, institutions, and industry stakeholders across multiple geographies.
Key Responsibilities
1. Executive Support & Communications
* Manage a dynamic multi-timezone diary, balancing board meetings, investor engagements, and personal commitments.
* Prioritise and coordinate meetings, briefings, and events - ensuring alignment, preparation, and timely follow-up.
* Draft and manage communications across email, messaging apps, and internal platforms with clarity and polish.
* Prepare briefing notes, decks, and internal documents to support strategic decision-making.
2. Personal & Lifestyle Management
* Coordinate personal calendars, appointments and engagements.
* Manage personal errands, liaise with household staff, service providers, and contractors, oversee admin and utilities.
* Source and manage reservations, concierge requests, and travel, and attend on site to ensure readiness before the start of a function.
* Discreetly manage personal purchases, errands, and ad hoc administration with minimal oversight.
3. Travel & Event Planning
* Plan and manage complex international itineraries across professional and personal domains.
* Maintain accurate travel documentation and prepare briefing materials and logistics in advance of trips.
* Coordinate high-profile events, business dinners, and private functions with attention to brand, tone, and guest experience.
* Liaise with internal teams and external providers to ensure seamless execution of engagements and events.
Candidate Profile
Essential
* Minimum 3 years’ experience supporting senior executives, entrepreneurs, VCs or high-profile individuals.
* Exceptional organisational skills with the ability to manage competing priorities under pressure.
* Strong written and verbal communication skills with attention to tone, accuracy, and confidentiality.
* Comfortable using tools such as Google Workspace, Apple Calendar, Slack, and document management systems.
* Based in or commutable to London or Oxford, with flexibility for in-person availability as required.
Desirable
* Degree-educated or equivalent experience in a comparable role.
* Prior exposure to VC, startups, life sciences, or high-performance environments.
* Familiarity with legal/financial administration (e.g., contracts, filings, trusts).
Working Style
* Part-time (50%) role: 20–25 hours per week across 3–4 days, with flexible working hours.
* Occasional evening or weekend availability may be required during events.
* Highly autonomous: able to operate independently and proactively.
* Utmost discretion, professionalism, and loyalty are essential.
Compensation
* £30-40k / annum pro rata
