Administrative Assistant
Erudite Training Ltd - Dukinfield, Tameside

£ 12.25 to £12.60 per hour (dependent upon experience)
This is a job share, so we are looking for two people to split the role, and hours of attendance, between them (ideally 20 hours each).
Training appropriate to the role will be provided.
Job Summary:
To provide course administrative, clerical & operation support for lecturers and students
To maintain a clean and safe working environment
To act as first point of contact for those using the training centre
To provide social media content and assist with marketing of Erudite Training.
Duties and Responsibilities (To be part of a team providing the following)
Rapid and accurate processing of bookings, payments, payment plans and exams.
Provide course administrative support in relation to all training activities.
Ensure all exam and assessment documentation is filed and process accurately every time as we are subject to regular quality assurance visits from awarding bodies.
Continuous engagement, creation and monitoring of sales leads through inputting data, phone calls, emails, texts and team communication.
To provide frequent reports to centre staff on course levels and sales.
Maintain quality assurance documents and liaise with the EQA and IQA as required.
Organise invigilation of examinations including scheduling staff, IT equipment, course dates and times.
Provide basic troubleshooting and support for users of IT equipment and photocopiers.
Develop administrative techniques and processes in consultation with other members of staff.
Provide flexible and ad-hoc cover for other colleagues and as directed by your line manager.
Maintain stock levels of day to day supplies within the training centre.
The list of duties and responsibilities is by no means exhaustive and the post-holder may be required to undertake other relevant and appropriate duties as required.
Knowledge – Experience - Skills Required(Evidenced through Proforma, supporting letter, interview, practical test)
A high level of written and verbal English communication skills.
An excellent level of proficiency in MS Office outlook, word & excel.
Excellent customer service skills.
You will ideally be able to type at a good speed, commensurate with data entry.
You will have experience of managing and prioritising workload to meet strict deadlines in an administration environment with high volumes of varied work.
You will have achieved qualifications to at least GCSE Maths and English Grade A to C or equivalent.
Additional qualifications in the use of MS Office, business administration, typing or equivalent are likely to be a distinct advantage.
Evidence of working with high quality, written communications to customers would be extremely desirable.
Your own transport would be an advantage but not essential.

You will be calm under pressure and be able to absorb complex information quickly.
You will have a good attention to detail, be able to think critically and solve problems.
You will be able to prioritise work to take account of frequent interruptions to deal with enquires and take telephone bookings and payments.
Concentration will be required for extended periods, for typing invoices, specifications, letters, reports and other items.
There is a periodic requirement to lift moderate loads (e.g. stationary, deliveries, office equipment, display boards, furniture).
You will be committed to your own personal development and keeping up to date with administrative technology and practice.

Be sensitive to the needs of the business.
Support Erudite Training by acting as a central hub for communication and information.
Show empathy towards other members of staff.
Attend staff meetings, collate agendas and write minutes as required.
Maintain and develop, positive and professional working relationships with customers, suppliers, other members of staff and students.
Risk Management
You will follow risk management procedures at all times and identify any potential hazards in the workplace, reporting these to your line manager. If in doubt speak to your manager or a senior member of staff for guidance. We are all responsible for maintaining a safe working environment.

Your core hours are detailed in your contract.
We expect you to have a strong work ethic, act highly professionally at all times and maintain confidentiality of data relating to courses and candidates in accordance with The Data Protection Act.
Use of personal mobile phones, texting and social media is permitted only during your break or lunch times. We expect administrative staff to provide phone call and office cover at all times and to therefore stagger their break/lunch with one another.
