Main duties of the job

Undertake a variety of administrative duties toassist in the smooth running of the Practice including the provision ofsecretarial and clerical support to clinical staff and other members of thePractice team
Facilitate effective communication betweenpatients, members of the Primary Health Care Team, Secondary Care and otherassociated Healthcare Agencies

Job responsibilities
Togreet patients in a friendly and courteous manner at all times.
Toanswer telephone calls in a polite and professional manner.
Tomake appointments for the doctors surgeries and nurses clinics using thePractice clinical information system
Toensure that surgeries and clinics run on time, making sure that the doctors andother clinicians are aware of their schedules.
Totake prescription orders over the phone assisting patients with queries overnew medication, drug names and generic products.
Answeringpatient queries regarding various Practice policies and initiatives.
Toopen the post, and distribute accordingly.
Toarrange new patient registrations, explaining the surgery policies.
Tolisten to patient complaints, making sure that they are addressed and dealtwith appropriately.
Tobook outpatient appointments using the choose and book system
Toretrieve patients medical records for various clinics and surgeries.
Tofile patients records in the correct manner.
Tocheck and update patients addresses, telephone numbers etc, on both manual andcomputerised records.
Toscan all hospital correspondence accurately.
Tocreate new patients medical records.
Culling& tagging of all new medical records
PathLinks daily management of pathology results system.
Toprovide secretarial cover in the absence of the practice secretary.
Monitorand action all patients DNAs according to Practice policy.
Notesummarising -entering patient histories from new medical records
Enteringrelevant information from Out of Hours doctor reports onto clinical system
Maintainand update patient priority lists.
Tocover duties for other members of staff, this may arise in the case of absence,sickness and holidays.
ChaperoneGP if required.
Toensure that the surgery in which you are working is left secure after use atall times during your work hours and ensuring Practice premises and perimetersare left secure at the end of the day.
Sharedresponsibility for reception, waiting rooms and consultation rooms upkeep andtidiness including leaflets and posters
Toensure that strict confidentiality protocols are adhered to.
Attendingand contributing to practice meetings.
Toattend training sessions on behalf of the practice as required.
Tocomply with health & safety procedures and report any areas of concern tothe Practice Manager.
Openingand securing of premises when required
Toundertake any other duties as may be determined from time to time to ensure theefficient running of the practice.
Person Specification
Experience
* Excellent verbal and written communicator, confidentiality, computer literacy, good telephone skills, flexible approach to work,
* holiday cover, show sensitivity, tact and diplomacy.
* Experience of working in an environment with direct contact with the public. Secretarial typing skills.
