A quick look at the role
The Receptionist / Facilities Assistant will be responsible for front-of-house reception and administrative duties in line with Biffa’s standards, while also overseeing facilities management of the operational building. Key tasks include greeting visitors, managing bookings and calls, handling mail and couriers, maintaining a tidy reception area, and coordinating staff during emergencies.
Your core responsibilities
· Support the Facilities Management (FM) team with reception and building-related admin tasks.
· Provide general admin help to all teams.
· Help the Facilities Coordinator with various tasks as needed.
· Work with other Biffa departments and share updates on FM activities.
· Use and understand building security systems and OneDrive.
· Communicate with landlords and other tenants in the building.
· Create and manage reports related to timekeeping, finance, and admin.
· Keep track of kitchen and cleaning supply stock.
· Help ensure health and safety standards are followed in the building.
Our essential requirements
· Qualifications & IT Skills: GCSEs (or equivalent) in English and Maths, with strong computer literacy and proficiency in Microsoft Office and SharePoint.
· Experience: Background in customer service, data entry, and working in a front-facing role.
· Knowledge: Understanding of Health & Safety regulations and experience using internal systems or databases.
· Skills & Attributes: Excellent communication, strong organisational and problem-solving skills, and ability to manage workload independently.
