Assistant Practice Operations Manager Post for our Tower Hamlets Practices.
We are looking for an accomplished, versatile, and highly organised person with appropriate experience to join our management team, providing on-the-ground assistant practice management and leadership.
Your main role will be to assist the Senior Practice Operations Manager in managing the surgery and premises to deliver high-quality care to the patient population.
Shift patterns will include early mornings and evenings.
Main duties of the job
Responsibilities:
1. Deputise for the Senior Practice Operations Manager in their absence, with the support of Senior Management.
2. Co-operate with the SPOM on day-to-day operational/work issues.
3. Line management of the supervisors and oversee line management of non-clinical team members.
4. Attend, participate in, and take minutes of practice meetings.
5. Maintain adequate cover for all staff during surgery hours, including sickness and holidays.
6. Allocate specified tasks requested by doctors and other members of the primary healthcare team.
7. Deal with staff issues affecting the working environment, e.g., booking locum GPs and cover staff in line with the budget or practice allocation.
8. Ensure all administrative systems run smoothly and recommend improvements as necessary.
9. Review and update the practice protocols.
10. Maintain clinical registers and oversee the call/recall process.
11. Maintain practice inventory of equipment and organise repair and replacement where necessary following discussion with the SPOM.
12. Ensure the Health and Safety Policy is updated and carry out H+S checks regularly. Report any risks to the SPOM.

Job responsibilities
1. Responsible for all aspects of the day-to-day running of the practice in conjunction with the Lead GP and practice team.
2. Manage practice complaints, comments, and suggestions, responding within organisational timeframes, escalating as necessary, and ensuring lessons are disseminated.
3. Oversee performance to ensure the Practice meets QoF, KPI, and Enhanced Services targets.
4. Infection control lead for the practice.
5. Ensure that Tower Hamlets Practices meet Network set targets.
6. Attend all Network meetings.
7. Ensure data is supplied as required.
8. Line management of the non-clinical team.
9. Set objectives and PDPs for the non-clinical team, leading the appraisal process.
10. Analyse staffing requirements and identify training needs.
11. Ensure all staff attend statutory and mandatory training, and HR records are up to date.
12. Manage sickness and absence, ensuring return-to-work interviews are conducted.
