Role Overview:


This is an exciting opportunity to join a rapidly growing, privately owned dynamic collection of hospitality, catering and event management businesses based in London. Brands include Evolution London, Moving Venue Caterers, Last Supper, Smart Summer Parties, Smart Christmas Parties & Story Events.

The candidate will be assisting Smart Venues, Smart Group’s Venues Sales & Ticketed Event department. The venues are comprised of Evolution London and our seasonal venue sites. Seasonal Venues are comprised of the Exclusive Summer and Christmas venues portfolio, of which there are currently:


Summer

* Magazine London (exclusive events)
* Evolution London (exclusive events)
* Charterhouse Square (exclusive events)
* Somerset House Summer Season (exclusive events)


Christmas

* Magazine London (exclusive & ticketed events)
* Evolution London (exclusive & ticketed events)
* The Masquerade Club at 60 Great Queen Street (exclusive & ticketed events)
* The Gatsby Club at 60 Great Queen Street (exclusive events)
* Moving Venue Portfolio – Landing 42, Control Room A, Illuminate at the Science Museum & The Pelligon


Core Duties and Responsibilities:


The successful candidate will be a key member of the sales team, supporting the achievement of sales targets across both exclusive and ticketed events.


Shared Christmas Parties Sales (Ticketed Events):

* Answering phones and assist with incoming enquiries
* Calling database for Shared Christmas parties

-Including cold calling

-Calling historical data


Shared Christmas Parties Administration:

* Chasing payments for ticketed event bookings
* Chasing menu orders and drinks up-sells for ticketed event bookings
* Sending out tickets for Ticketed events
* Preparing daily ticketing reports
* Printing labels, letters etc
* Management of rota for shared party events (once a year)
* Produce and update all event information and reports for the catering teams and on-site managers.
* Ensure reports are communicated accurately and updated within agreed time frames
* Keeping the CRM system (Salesforce) up to date with new products and events
* Co-ordinate feedback questionnaires, graphs and results post the Christmas season.


Shared Christmas Parties Operations:

* Attend shared party nights
* Assist with scanning tickets on the evening of shared party nights
* Assist guests with any on-site queries
* Be available for the operations team with any on-site queries


Smart Parties Exclusive Event Sales:


* Small exclusive Christmas and Summer sales

-60 Great Queen Street (The Gallery/The Gatsby Club)

-The Charterhouse Square

* Assist in creating sales proposals for exclusive hire summer & Christmas events
* Assisting on client site visits for exclusive hire sites
* Assist with maintaining the event scheduler and CRM system (Salesforce)


Marketing:

* Attend trade show events to showcase and promote Smart Parties throughout the year
* London Christmas Party Show/London Summer Event Show etc
* Ensuring all data is correctly followed up
* Ensure the drop box and iPad are kept up to date with all latest images, brochures and floor plans
* Assist with obtaining event case studies to be used for marketing collateral


Other Ticketed events (Royal Ascot etc.)

* Managing Bookings and invoices
* Manage the administration
* Package and send out tickets
* Ensuring all orders are correct and reported to the operations team
