A leading international law firm is seeking a proactive and highly organised Operations Assistant to join their London office. Representing a firm known for its excellence, innovation, and collaborative culture, this is a fantastic opportunity to support the Facilities & Office Services Manager and the Head of Facilities in delivering first-class operational support across the business.
The Role
As Operations Assistant, you will play a key role in ensuring the smooth running of the London office, supporting day-to-day operations. You’ll be involved in a wide range of responsibilities across facilities, office services, health & safety, and vendor management.
Key Responsibilities
* Support day-to-day office operations, including facilities upkeep, supply ordering, and vendor coordination.
* Assist with onboarding/offboarding of service providers, ensuring all documentation and requirements are met.
* Help plan and coordinate office relocations, working with IT and other internal teams.
* Monitor and manage office assets (e.g. furniture, appliances, plants), including service and maintenance scheduling.
* Conduct regular checks for Health & Safety and Fire compliance; maintain updated records.
* Coordinate staff training for Health & Safety, Fire Safety, and First Aid; manage related documentation.
* Assist with budget tracking and cost control; monitor departmental purchasing activity.
* Maintain and update internal resources, including the team’s intranet page.
* Manage team calendars and schedules; organise meetings and follow up on action items.
* Support access control processes across multiple office locations.
* Help implement and maintain departmental policies and procedures.

* Previous experience in a law firm environment
* Strong operational awareness and a hands-on, solutions-focused approach.
* Excellent communication skills and the ability to work with stakeholders at all levels.
* Calm under pressure, with strong multitasking and prioritisation skills.
* A collaborative team player with a high level of discretion and professionalism.
