The Role

We are seeking an enthusiastic Event Coordinator to join our dynamic team and contribute to the success of our globally renowned events. Reporting to the Director of Event Operations, you’ll support the delivery of world‑class experiences, from global conferences and sponsored dinners to professional courses and bespoke client events.

This role primarily involves supporting senior team members on larger events while taking ownership of some global conferences and other standalone projects. You’ll work in a collaborative, fast‑paced environment where creativity, organisation and teamwork are key.


Key Responsibilities

* Logistics Assistance: Support delivery of our diverse event portfolio, including venue selection, supplier coordination and on‑site management.
* Collaborative Event Support: Work closely with operations, production and sponsorship teams to design and deliver engaging event experiences while optimising operational efficiency.
* Research and Coordination: Conduct research on venues, suppliers and production agencies, helping develop our supplier network and assisting with contracts and approvals.
* Event Execution: Support global conferences, sponsored dinners and bespoke events, handling venue coordination, F&B, branding, AV and timing.
* Technical Support: Manage online registration tools and event apps, ensuring technical aspects run smoothly.
* On‑Site Support: Provide hands‑on support during events, liaising with vendors, assisting with set‑up and breakdown, and ensuring compliance with health and safety regulations.


Requirements

* Experience supporting conferences or professional gatherings, ideally in an international setting.
* Creative problem‑solver: adaptable, calm under pressure and able to think on your feet.
* Highly organised and proactive: capable of managing multiple tasks and maintaining accuracy in a fast‑paced environment.
* Collaborative team player: confident working closely with others while taking ownership of your workload.
* Strong communicator: comfortable communicating with colleagues, clients, suppliers and venues.
* Flexible and reliable: happy to travel internationally and work occasional evenings.

We expect you to be in the London office at least once a week for collaboration and coordination.

International travel, including visits to the US, is required. Candidates must be eligible to travel to the US, preferably through the ESTA visa program.
