Join BWPC as a Catalogue Manager – Make a Meaningful Impact in NHS Procurement

Bristol & Weston NHS Purchasing Consortium (BWPC) is looking for a motivated and detail-oriented Catalogue Manager to support and help deliver high-quality procurement services to two major NHS Trusts in the Bristol region.

Main duties of the job

You will work as a Catalogue Manager across all Partner Trusts supporting the management of the catalogue suite within SAP Ariba as well as the management of the Procurement team Service desk plus. As a credible data management professional you will provide advice and guidance to procurement team members, stakeholders and suppliers to ensure the catalogue is always up to date. You will ensure the information is processed in accordance with policies and procedures and investigate enquiries and queries from stakeholders, providing assistance and advice as required. You will need to adapt information reports, maintain and interpret datasets to support the analysis of spend data. Will provide training to support the adoption of procurement systems to Procurement and non-procurement colleagues across the Trust. You will manage the performance of the wider catalogue team and will actively support them in meeting their own development needs and aspirations.

Detailed Job Description And Main Responsibilities

Support the Head of Operational Procurement in embedding the vision and aims of the Procurement Collaborative in everything that you do. Review progress against the vision and aims and provide feedback as required. Make decisions where there may be more than one solution to effectively deliver the desired outcome. Responsible for the management of Catalogue team undertaking systems and data activity across all partner trusts achieving financial savings and value for money. Contribute systems advice across all partner trusts in relation to specific procurement systems. Deliver a high level of customer service to all stakeholders which promotes the department as a centre of procurement excellence. Demonstrate service improvement against a range of defined KPIs that are agreed and supported by Partner Trust. To assist the Continuous Improvement Team in any development projects. Assists in the creation and proposes changes to standard operating procedures and work processes in accordance with the Trust’s SFI, governance requirements and industry best practice. To provide ad-hoc reports from supplies to colleagues and budget holders. Use data to identify savings opportunities either through more efficient processes. Support the implementation of the procurement system buying channel strategy to achieve significant and sustainable cost improvements whilst enabling high quality care to patients and service users. Identify opportunities for product standardisation and identify these to the appropriate Procurement Lead for further investigation. Promote the benefits of product standardisation around patient safety making reference to developed case studies. Input into the procurement work programme to achieve financial savings and value add opportunities. Ensure the catalogue is updated to reflect any changes in product use. Deliver and report Catalogue savings in accordance with agreed timetable and in the format required by Partner Trusts, ensuring savings are realised. Support the Procurement team in ensuring standardised, robust range management processes are in place. Support discussions with suppliers and look at innovative new ways of working which could improve Procurement data capture and reporting such as improved compliance with GTINs. Investigate procurement system enquiries and provide advice as required. Ensure processes are in place and followed to allow all contract variations and modifications to be updated into the catalogue system. Interprets Catalogue data, creates reports. Have awareness of procurement decisions on supply chain and Purchase-to-Pay functions. Convey routine information to a range of audiences including clinicians who often face significant barriers which will require diplomacy, influencing and negotiation skills. Required to plan tasks and activities which may require adjustment due to variable workload and interruptions from stakeholders to ensure an efficient service is provided. Provide line management responsibility for 3 individuals within the team. Regularly provide training in own discipline to new starters and non-procurement colleagues ensuring that procurement systems are used correctly for non pay spend ordering.

Education/Training/Qualifications

Essential criteria

* NVQ level 3, City & Guilds or Equivalent experience
* In-depth understanding and evidence of working with SAP Ariba Catalogue management function


Work Experience

Essential criteria

* Circa 2 years’ experience of a purchasing/contracting working environment
* Experience of customer and supplier relationship management practices


Desirable criteria

* Proven experience of people management


Knowledge/Skills/Abilities

Essential criteria

* A detailed, analytical problem solving approach to activity.
* Computer literate, including experience of SAP Ariba, supply chain and Microsoft 365
* Experience in analysing data to present in chart or report form
* Confident stakeholder management skills
* High standard of communication and presentation

Desirable criteria

* Adept at managing and manipulating large volumes of data quickly and without error
* Strong understanding of customer and supplier relationship management processes and procedures
* Conversant with the management of change across a diverse customer base
* Proven experience in the use of Service Desk plus


Personal Qualities/Special Circumstances

Essential criteria

* Flexible approach, able to cope with change and uncertainty
* Strong team player, highly enthusiastic and motivated.
