Role Overview

We are looking for a proactive, organised, and people-focused Operations Administration Team Leader to oversee the daily delivery of core administrative tasks that support our wider operational function. The role ensures accuracy, timeliness, and compliance across areas such as Proof of Delivery (POD) processing, claims support, business-to-business transactions, audit preparation, and general operational administration, including sales and purchase orders. You will lead a small team of administrators, providing day‑to‑day leadership, coaching, and development. You will manage workloads, act as the first point of escalation for process queries, and work closely with managers across the business to drive continuous improvement and strengthen service delivery.


Key Responsibilities

* POD management: checking accuracy, reconciling missing PODs, and escalating discrepancies.
* Claims administration: supporting the processing of PODs linked to claims, gathering evidence, and ensuring documentation is complete.
* Audit tasks: completing weekly/monthly checks, maintaining audit‑ready documentation, and supporting internal/external audit preparation.
* Data entry & system accuracy: ensuring information is accurate, complete, and aligned with operational processes.
* General operational administration: inbox monitoring, updating trackers, producing reports, and supporting operational stakeholders with relevant tasks.
* Provide day‑to‑day leadership and guidance to the Administration team.
* Workload allocation & monitoring: ensure deadlines and SLAs are met.
* Set objectives, conduct performance reviews, and support coaching, development, and onboarding.
* Handle first‑line escalations, resolving issues quickly and confidently.
* Ensure all outputs meet quality standards and compliance requirements.
* Identify process gaps, inefficiencies or recurring errors and recommend improvements.
* Contribute to process reviews, documentation updates, and training materials.


Qualifications

* Previous experience as a Team Leader, Supervisor, or similar role.
* 2‑3 years’ experience in an administrative or operational environment, including day‑to‑day team management and performance support.
* Strong communicator, able to handle challenging conversations and escalations professionally.
* Highly organised, with excellent attention to detail.
* Process‑driven, with a strong sense of structure, accuracy, and compliance.
* Proficient in Microsoft Office, particularly Excel, Outlook, and Teams.
* Experience with Power BI, ERP or bespoke internal systems is beneficial but not essential; full training will be provided.

Employment Details

Shift Pattern: Monday to Friday. Hybrid working – minimum three days a week in the office in North Scarle, Lincolnshire.
