Gap personnel Bristol are operating as an employment business and currently looking to recruit a Goods In Coordinator for a client based in Avonmouth and Filton As a Goods in Coordinator, you will join a team where you will become a key and valued member providing support to key operations.
Role Purpose
To coordinate and control all inbound stock movements into the warehouse, ensuring goods are received accurately, booked in correctly, discrepancies managed, documentation retained, and stock is progressed through the inbound flow efficiently. The role also supports inventory accuracy and inbound compliance, working closely with QC for quarantine control and the Section Leader for put-away execution.
Key Responsibilities
Inbound Receiving and System Control
* Book in all inbound stock against purchase orders (POs) and site-to-site transfers, ensuring correct referencing and timely processing.
* Post inbound deliveries in line with delivered quantities versus the PO, identifying and escalating discrepancies.
* Confirm inbound stock status (booked in, checked, ready to move) and communicate to the Section Leader.
Put-away Coordination and Readiness
* Coordinate the inbound readiness process by confirming what is receipted/cleared and notifying the warehouse team/Section Leader what is ready to move.
* Support smooth flow by highlighting urgent items, space constraints, or congestion risks to the Section Leader so put-aways can be prioritised appropriately.
* Maintain visibility of inbound backlog (what is awaiting QC, what is awaiting movement, what is awaiting system updates).
Quarantine and QC Interface
* Work in partnership with QC, who owns and controls the quarantine area, ensuring stock requiring quarantine is identified, segregated, and routed correctly.
* Where required, physically move stock to the correct area (including quarantine) in line with QC direction and site rules.
* Complete system stock movements when required to reflect physical location/status changes accurately (including quarantine-related moves), ensuring system integrity matches reality.
Documentation, Traceability, and Audit Readiness
* File and maintain all delivery paperwork to ensure full traceability and audit readiness.
* Maintain clear records of discrepancies, corrective actions, and any QC/quarantine-related routing.
Inventory Accuracy and Investigations
* Investigate cycle count re-checks daily, escalating unresolved issues to the shift Section Leader/manager.
* Initiate and complete investigations where stock is missing, damaged, or misallocated, documenting actions through to closure.
Safety and Site Standards
* Ensure safe working practices are followed during receiving and movement of stock, including compliance with site safety rules and housekeeping expectations.
Key Relationships
* QC/Quality Control: Quarantine ownership, release/hold direction, non-conformance support.
* Section Leader: Put-away control, inbound prioritisation, workload sequencing, Staffing allocation.
* Purchasing: Delivery/PO issues, supplier performance and discrepancies.
* Inventory Control (if applicable): Count results, adjustments workflow, stock investigations.
Performance Measures (KPIs)
* Timeliness and accuracy of booking-in and system/location integrity.
* Put-away readiness visibility: reducing idle time by keeping the Section Leader informed of what’s cleared and ready.
* Documentation completeness and discrepancy closure speed.
