Office Manager Location: full time, office based in Wavertree, Liverpool 37.5 hours per week 9 – 5 / 8 – 4 / 10 - 6 Salary: £30-35k Gray Healthcare have an exciting opportunity for an experienced, positive, and proactive Office Manager. In this role, you will be responsible for a wide range of administrative tasks and will collaborate with all departments to ensure the office runs smoothly. Your attention to detail and strong organisational skills will be essential for providing effective support across the business. Key Responsibilities of the Office Manager role: * Become the primary contact for all aspects of office culture and employee experience, including training and onboarding for the office environment. * Ensure the office operates smoothly on a daily basis. * Serve as the primary point of contact and support for all on-site and remote managers. * Oversee office supplies and assist with IT and systems coordination. * Assist HR, Finance, and other departments with administrative tasks. * Participate in key governance meetings, record minutes, and prepare and distribute all relevant documents, action plans, and reports for both internal and external use. * Collaborate with our external health and safety partner to ensure compliance for our central office. * Assist the Senior Information Risk Owner (SIRO) in managing compliance with data protection legislation and overseeing information risk management. * Communicate with the landlord to ensure that we are compliant with our lease agreement. * Perform general administrative tasks, including sorting mail, scanning, and filing, as well as answering the phone. * Assist the organisation in preparing for and managing inspections and audits, including the CQC, CIW, ICB, and other key stakeholders. Skills and Experience required for the Office Manager role: * A minimum of five years of extensive administrative experience is required. * Exceptional interpersonal, organisational, communication, and digital skills with a methodical approach and keen attention to detail. * Have extensive knowledge and experience with Microsoft Office, in-house CRM systems, and management systems. * Experience in handling confidential information and a solid understanding of GDPR regulations. * The ability to identify and resolve unexpected issues, think creatively, and develop proactive solutions before problems escalate. * Experience of managing your own time and deadlines to juggle numerous responsibilities and projects simultaneously * Possess strong problem-solving and decision-making skills to effectively address issues. * Commit to ongoing personal development by staying informed about changes in policies and legislation. * Be an engaged team player.
