Support Through Sport, based in Nottingham, delivers sport‑based intervention, mentoring, and progression programmes to thousands of disadvantaged young people, empowering them to develop pro‑social behaviours and providing a lasting positive impact within underserved communities. Key Information
Position: Personal Assistant to CEO
Reporting To: Founder and Chief Executive
Hours: 20 hours per week
Contract: Part‑time, permanent (6 month probationary period)
Location: Nottingham office with occasional regional and national travel
Role Overview
Support Through Sport is seeking a highly organised, proactive, and trustworthy Personal Assistant to provide high‑quality executive and administrative support to the CEO. This role is central to the smooth running of the organisation, helping to protect the CEO’s time and energy, enabling them to focus on leadership, relationships, and strategic priorities that directly benefit young people and communities. You will act as a trusted point of coordination across the charity, supporting governance, operations, and relationships in a calm, professional manner.
Tasks and Responsibilities
Executive Support
* Manage and maintain the CEO’s diary, scheduling meetings, appointments, travel, and events
* Prepare meeting agendas, briefing documents, and take accurate minutes as required
* Track and manage key deadlines, priorities, and follow‑up actions on behalf of the CEO
* Handle confidential correspondence and information with discretion and professionalism
* Act as gatekeeper and first point of contact for internal and external communications
Communication and Relationship Management
* Liaise with internal teams, trustees, partners, funders, and external stakeholders on behalf of the CEO
* Draft, format, and send communications including emails, reports, letters, and presentations
* Support relationship management with partners and funders by ensuring timely follow‑ups and coordination
* Arrange appointments and stakeholder meetings to ensure excellent relationship management
Organisational Support
* Assist with the coordination and administration of key organisational projects and priorities
* Support the CEO in monitoring progress against actions and work plans
* Carry out light research and prepare briefings to support informed decision‑making
* Maintain well‑organised records and files relating to CEO work streams and organisational operations
Governance and Compliance
* Support preparation and circulation of Board and Trustee presentations and papers
* Coordinate CEO communications and track actions arising from meetings
* Maintain an accurate calendar of governance meetings and compliance requirements
* Support staff and volunteer onboarding and engagement as required
Events and Management
* Assist with planning and delivery of events involving the CEO, including speaking engagements, community visits, and partnership meetings
* Coordinate logistics, materials, and follow‑up for events, conferences, and meetings
Administrative Support
* Provide ad‑hoc administrative support to the wider leadership team where capacity allows, as directed by the CEO
* Maintain key contacts and internal systems such as Bright HR, and up‑to‑date records
* Ensure all administrative work reflects the charity’s values, ethos, and commitment to professionalism
Person Specification
* Proven administrative experience, ideally supporting senior leadership in a charity, public or community sector setting
* Excellent organisational and time‑management skills with strong attention to detail
* Confident written and verbal communicator, able to liaise professionally at all levels
* Trustworthy and discreet, with the ability to handle sensitive information with integrity
* Proactive and solution‑focused, able to work independently and take initiative
* Strong judgement and ability to prioritise effectively
* Proficient with technology and systems, including M365 and HR platforms
* Passionate about youth and community work
* Interest in mental health, sport or wellbeing
* Experience working in small or medium‑sized organisations or charities
* Experience supporting fundraising or partnership activity
* Understanding of governance and charity compliance
* Ability to work flexibly, including occasional evenings or weekends for key events
