Job Description
As an Estates Administrator, you will manage a variety of administrative tasks, including maintaining systems, processing purchase orders, and assisting with financial and payroll activities. You will work closely with colleagues and suppliers to ensure accurate records and timely reporting, contributing to the overall success of the Estates operations.
Key Responsibilities
- Operate and maintain the CMMS (Concept Evolution) system and produce scheduled reports.
- Log tasks accurately and monitor completion within required timescales.
- Create and manage purchase orders using the COUPA system; liaise with suppliers and subcontractors.
- Assist with monthly and annual accounts, invoice compilation, and purchase ledger queries.
- Support payroll processes, including timesheet summaries and overtime updates.
- Record monthly energy meter readings and produce trend reports.
- Prepare documentation for audits and maintain compliance with company policies.
- Contribute to a safe and secure working environment and uphold confidentiality standards.
Professional and Personal Competencies/Qualifications
- Previous experience in administration and office management within an Estates environment.
- Familiarity with CMMS systems (e.g., Concept Evolution).
- Proficiency in Microsoft Office (Word and Excel).
- Excellent organizational skills and attention to detail.
- Ability to communicate effectively at all levels, both written and verbal.
- Problem-solving skills and ability to work independently.
- Commitment to confidentiality and data accuracy.
