Summary

BASIS is seeking an organised, proactive and people‑centred HR and Administrative Officer to join our dedicated team. This is a pivotal role supporting the smooth running of our organisation – combining hands‑on HR and employee engagement with high‑quality administrative support to our Chief Executive Officer (CEO). Purpose

The HR and Administrative Officer position delivers essential support to business management across a comprehensive range of employee relations and HR processes, including attendance or absence management, conduct, performance management, talent management, business transformation and recruitment. The role also actively contributes to employee engagement initiatives, well‑being programmes and HR projects as they become identified. Additionally, the role is responsible for facilitating the efficient operation of key executive functions beyond HR, providing high‑quality administrative assistance to the BASIS Chief Executive Officer (CEO) and supporting effective communication throughout the organisation. This position is integral to maintaining precise records, managing updates to people policies and HR procedures, and supporting staff onboarding, engagement, and development activities.


Key accountabilities

* Maintenance and update of organisational people policies.
* Liaise with external experts to support complex HR or compliance matters.
* Coordinate recruitment and selection processes and manage onboarding and induction processes.
* Support and guide managers on conduct, capability, absence, and grievance matters in line with best practice.
* Act as a point of contact for employee queries, promoting effective communication and positive staff relations.
* Support initiatives to enhance employee engagement, recognition, wellbeing, and organisational culture.
* Maintenance of essential systems, processes, and KPIs to monitor and improve people performance and retention.
* Coordinate and track staff training and development activities to support continuous learning and performance.
* Provide comprehensive administrative and diary support to the CEO and oversee day‑to‑day office administration.
* Support clear, timely, and inclusive communication across the organisation to keep staff informed and connected.


Key tasks

* HR Administration: Coordinate recruitment processes, including adverts, applications, interviews, offers, contracts and references. Maintain accurate and confidential employee records and support policy reviews. Ensure PDPs, absence and return‑to‑work processes are followed effectively.
* Onboarding & Training: Manage new starter induction, IT setup and system access. Maintain training records and coordinate learning sessions. Ensure Right to Work documentation is compliant and accessible.
* Employee Relations & Performance Management: Advise and support managers on conduct, capability, absence and grievance matters. Assist employees with HR and payroll queries. Liaise with external HR consultants on complex cases.
* Employee Engagement & Wellbeing: Support engagement, wellbeing and recognition initiatives. Develop processes to promote high performance and positive culture.
* Executive Support: Manage CEO diary, meetings, travel and documentation.
* Office & Facilities Management: Oversee office supplies, equipment and general upkeep.
* Internal Communications & Events: Draft and circulate internal communications. Organise staff events, meetings, away days and surveys.
* Systems & Process Improvement: Review HR and administrative systems for efficiency. Support introduction of digital tools and best‑practice HR processes. Agree and develop key people indices to support business decisions.


Key responsibilities

* Support the full employee lifecycle, including recruitment, onboarding, training, offboarding and maintaining accurate and confidential staff records.
* Maintain up‑to‑date organisational policies and procedures, ensuring compliance with employment legislation and best practice, and that policies are easily accessible to management and staff.
* Ensure people policies are adhered to and managers are effectively guided through the process, whilst maintaining consistency in approach.
* Ensure essential, up‑to‑date and compliant employee records are maintained, and that all notes and documentation relating to employees and employee relation matters are correctly stored and accessible.
* Ensuring probation sign‑off or extensions are managed and met by managers.
* Oversee the smooth day‑to‑day running of office operations, managing supplies, systems and supplier relationships to ensure a productive working environment.
* Provide comprehensive administrative assistance to the CEO, ensuring effective diary management, meeting coordination and travel planning.
* Support effective internal communication and engagement activities, helping to keep staff informed, connected and aligned with organisational priorities.
* Identify and implement improvements to HR and administrative systems and processes to enhance efficiency, consistency and organisational effectiveness.
* Ensure all people and administrative documentation is held on secure platforms and is GDPR compliant.


Key performance indicators

* Staff onboarding, records and HR processes are accurate, timely and compliant.
* CEO supported effectively with timely, accurate administration and communication.
* Office operations run efficiently and remain compliant with policies and audits.
* Internal events and communications are delivered effectively, on time and within budget.
* Positive feedback from staff on administrative, communication and HR support.


Communication

* Actively communicate and seek feedback from colleagues and stakeholders.
* Positive support of all team members.
* Ensure all company briefs are communicated in a timely basis.
* Play a participative part in Team Briefs.
* Be fully conversant in and promote BASIS vision, values and behaviours.
* Be proactive in the provision of feedback and the delivery of ideas to develop and improve solutions relating to the business.
* Support and actively contribute to the company newsletter.

* Actively engage in personal development initiatives and training as required.
* Gain experience in all departments.
* Fully engage in your own annual objective setting process.
* Constantly strive to meet the key business strategies, these include but are not limited to: Communication and marketing strategies, Business development and financial strategies.

* We will be relocating our offices from Ashbourne to Cromford Mills in the near future, so flexibility around travel and working arrangements will be important.
