Main Duties and Responsibilities
Ensure that all medicines and appliances dispensed are checked against the prescription. Whenever there is doubt about the appropriateness of the item, or about the dose or labelling instructions, check with the authorising doctor
Collect all due prescription charges and ensure that the patient declaration on the reverse of the FP10 is duly filled in and signed by the patient regardless of the patient's age
Ensure that all monies received or handled on behalf of the Practice are appropriately processed in the dispensary till and a record kept of all financial transactions
Endorse all prescription forms as appropriate and make sure that all forms should be bundled in accordance with current PPA guidelines. Include any necessary accompanying paperwork such as the FP34D and invoices as required by the PPA
Promptly forward all invoices and dispensary related correspondence to the Finance Team
Notify Dr Sultan of any FP10 returns/feedback from the PPA so that any appropriate remedial action may be taken
Operate efficient stock control appropriate to the needs of the Practice with the objective of ensuring continuity of supply for patients and minimising wastage through out of date stock
Ensure that drugs are stored in an appropriate manner in accordance with the accompanying instructions
Ensure that shelves and all work surfaces are regularly cleaned to maintain a high level of hygiene within the Dispensary and that all dispensary equipment is kept clean and kept in good working order
Respond to any drug alert bulletins that may be received from time to time
Check the fridge daily and ensure that refrigerated items are stored at the appropriate temperature. Maintain a temperature control record/logbook according to the Dispensary Storage Protocol
Maintain full and accurate records of all dispensing transactions incorporating the use of computers when available and appropriate
Dispensing Responsibilities
Dispense medication as stated on prescriptions. Ensure that all medicines are authorised by Dr Sultan and checked against prescription and labelled with the correct drug name, strength, quantity, directions for use, patient's name and includes any additional required information (if necessary giving patients advice)
Provide a second-check on all medications once they are labelled, before putting items inside the patient's bag. Split pack items must be checked and initialled by two Dispensers
Check the back of scripts, collect all the prescription charges and ensure that the patient declaration on the reverse of the FP10 is duly filled in and signed by the patient
Deal with controlled drugs in an appropriate manner adhering to all policies and procedures and maintain the controlled drug book records at all times
Provide over the Counter OTC and Private Prescriptions in accordance with agreed protocols making sure that all the prices are checked
Ensure that all monies received or handled on behalf of the practice are appropriate and a record kept of all financial transactions
Administration
Using the practice computer system, ensure all relevant information is recorded within individual patient records and maintain full and accurate records of all dispensing transactions
Place accurate and timely orders with suppliers
Maintain stocks of dispensary stationery
Issue paper prescriptions to non-dispensing patients
Issue repeat prescriptions as requested by patients within the agreed time scale
Management
Oversee the day to day running of the Dispensary and ensure effective time management.
Responsible for the commercial buying of drugs and sundries
Gain information and negotiate sales terms from pharmaceutical companies and or their representatives concerning the commercial details of their products
Deal with paperwork relating to the Dispensary, check wholesaler and other discount statements and ensure that the practice receives agreed entitlements
Ensure that the Dispensary has a standard operating procedure that meets the regulations and the highest dispensing standard
Liaise with patients with any queries they may have concerning the dispensing of their medication
Perform computer searches as required with the clinical computer system and present information in an analytical way
Train and arrange training courses for new Dispensary staff members
Devise and explain to each dispenser the mechanisms for ordering from suppliers
Assess the requirements of the Dispensary in terms of time and management
Health and Safety
Adhere to all aspects of Health and Safety at Work Act and Regulations and be aware of the responsibility of every employee to have regard for themselves and others at work
Assist in promoting and maintaining your own and others' health, safety and security as defined in the Practice Health & Safety Policy, to include:
· Using personal security systems within the workplace according to Practice guidelines
· Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
· Making effective use of training to update knowledge and skills
· Using appropriate infection control procedures ensuring work is carried out in a tidy and safe way and free from hazards
· Reporting potential risks identified
Personal/Professional Development:
Participate in any training programme implemented by the Practice as part of this employment, such training to include:
· Participation in an annual individual performance review, including taking responsibility for maintaining a record of own personal and/or professional development
· Taking responsibility for own development, learning and performance and demonstrating skills and activities to others who are undertaking similar work
· Attend external meetings if necessary and participate in internal training programme when required
Communication
Communicate effectively and regularly with other Team Members to ensure the accurate exchange of information relating to patients and the Practice
Liaise with outside agencies to provide a good standard of service to the practice population
Share responsibility for ensuring effective internal practice communication
Ensure efficient internal and external communication systems:
· Respecting the privacy, dignity, needs and beliefs of patients, carers and colleagues
· Behaving in a manner which is welcoming to and of the individual, is non-judgmental and respects their circumstances, feelings priorities and rights.
Communicate effectively and regularly with other members of the Practice team to ensure continuity of service.
General
Maintain Practice confidentiality whether you are at work or not at all times
Apply Practice policies, standards and guidance
Maintain flexibility of own working hours to cover the Practice needs as and when requested by the Practice
Maintain self and team professionalism and organise self and team time to maximum efficiency
Keep the Practice team informed of any matters arising as necessary and keep Dr Sultan informed of any matters or problems arising
Use own judgement, common sense and be self-motivated. Organise and prioritise own workload
Ensure cost effective when placing orders on behalf of the Practice
Maintain Practice records and comply with the appropriate recording of information in accordance with the Practice protocols, Information Governance Guidelines and NHS Regulations
Undertake any other duties and tasks considered appropriate to the position when required
