ACADEMIC OPERATIONS ASSISTANT FOR PAMOJA EDUCATION - FARIA ONLINE SCHOOLS J ob Title : Academic Operations Assistant Location: Remote – within /- 1 hour of UTC Employment Type : Full-time, Permanent Salary : £22,000 to £25,000 DOE JOB PURPOSE The Academic Operations Assistant (AOA) will play a key role in supporting the efficient running of the academic team within Pamoja Education. This junior role provides administrative and operational support to ensure smooth coordination of teaching resources, student enrolments, and academic processes. This is an excellent opportunity for a graduate with strong administrative and IT skills, ideally with an interest in education or prior experience with the International Baccalaureate (IB). The role will involve working closely with the academic team, supporting data management, and assisting in the coordination of key academic processes. The AOA will be given opportunities to develop and grow, with a clear pathway to the Academic Operations Manager (AOM) role. RESPONSIBILITIES 1. Administrative & Operational Support • Assist in managing teacher and student data, ensuring databases are kept up to date. • Support teacher recruitment and onboarding by coordinating documentation and system access. • Help allocate students and teachers to IB sections (classes) for optimal academic fit. • Maintain accurate records of academic planning and teacher schedules. 2. Teacher & Student Coordination • Act as a point of contact for teachers, responding to basic operational queries. • Support the scheduling and logistics of faculty meetings and teacher communications. • Monitor teacher and student engagement using internal platforms and flag issues to the relevant team members. 3. Academic Triage & Issue Resolution • Act as the first point of contact for operational issues, escalating as needed. • Use systems such as Zendesk and learning platforms to track, monitor, and resolve common issues. • Work collaboratively with the academic team to ensure a smooth experience for students and teachers. 4. Data & Process Management • Assist in tracking academic trends, including student engagement and teacher performance. • Help generate reports on service standards and academic performance, supporting data-driven decision-making. • Support internal assessments and other academic processes, ensuring compliance with IB and school policies. 5. Standard Operating Procedures & Knowledge Management • Contribute to updates and improvements in academic Standard Operating Procedures (SOPs). • Ensure Help Centre articles and internal documentation remain accurate and up to date. 6. Professional Development & Growth • Gain exposure to key academic operations functions and develop skills for progression to an Academic Operations Manager role. • Receive mentorship and training from senior team members. REQUIREMENTS AND SKILLS • Education: Graduate-level qualification, ideally with an interest in education or experience with the IB (desirable but not essential). • IT & Data Skills: Strong Excel skills and ability to work with data. Comfortable learning new platforms and systems. • Communication: Excellent written and verbal communication skills. Ability to summarise key information clearly and professionally. • Attention to Detail: Strong organisational skills, with the ability to manage multiple tasks accurately and efficiently. • Problem-Solving: A proactive and solution-oriented mindset when handling operational issues. • Remote Working: Ability to work effectively in a fully remote environment while covering core UK business hours. • Teamwork & Initiative: A flexible, self-motivated approach with the ability to work independently and as part of a team.
