Job Purpose

Due to recent expansion, we are creating a brand-new Accounts Assistant role who will support the finance function of the company by maintaining accurate financial records, assisting with day-to-day accounting operations, and ensuring compliance with internal controls and regulatory requirements. The role requires strong attention to detail, confidentiality, and the ability to work in a fast-paced, regulated environment.
Key Responsibilities will include:
Process purchase invoices, expense claims, and supplier payments (bi-weekly) accurately and on time
Process and reconcile the company credit cards
Maintain accounts payable and accounts receivable ledgers
Raise and issue sales invoices in line with contractual and project milestones
Monitor customer accounts, track outstanding balances, and follow up on overdue payments
Allocate customer receipts and resolve invoice or payment discrepancies
Assist with bank reconciliations and monthly financial reconciliations
Prepare and post journal entries under supervision
Assist in month-end and year-end close processes
Maintain accurate financial records in line with accounting standards and company policies
Support audit processes by preparing documentation and responding to queries
Assist with budgeting and cost tracking for research, laboratory, and operational expenses
Ensure compliance with financial regulations and internal controls relevant to the company and industry.
Undertake ad hoc projects and analysis aligned with the role's level and scope.
Required Skills, Personal qualities and Qualifications:
Essential
AAT qualification or part-qualified accountant (or equivalent experience) preferred
Previous experience in an accounts or finance assistant role
Experience in a biotech, pharmaceutical, research, or regulated industry is an advantage
Proficiency in accounting software (e.g. SAP, Oracle, Xero, Sage, or similar)
Strong Excel skills
High level of accuracy and attention to detail
Strong organisational and time-management skills, with Proactive approach to problem-solving
Ability to handle confidential information professionally
Good communication and interpersonal skills and Ability to work independently and as part of a team
Desirable
Understanding of R&D cost tracking and grant funding
Use of Oracle NetSuite and Kanbina is an advantage but not essential
Familiarity with regulatory or compliance-driven environments
