Overview of the job
This role involves administrative support within the Probation Service, ensuring efficient processes support staff and individuals on probation, maintaining administration systems to meet team and divisional objectives.
The job requires adherence to policies on equality, inclusion, and confidentiality. Some out-of-hours work may be involved.
Responsibilities, Activities & Duties
* Maintain accurate records of people on probation and victim information on approved databases.
* Administer referrals and manage relationships with offender management, victims, interventions, service providers, and external agencies to promote positive outcomes and reduce reoffending.
* Prepare, maintain, and collate case records, files, and management information.
* Handle communications via telephone, email, and paper.
* Provide reception and telephone enquiry services.
* Serve as a point of contact for specialist areas as required.
* Interact fairly and effectively with individuals on probation, including those in crisis or displaying challenging behavior, seeking support as needed.
* Arrange appointments and directions for Sentence Plan implementation.
* Carry out enforcement administration tasks.
* Manage petty cash, vouchers, and travel warrants, maintaining records in line with financial procedures.
* Organize equipment and facilities for case management activities.
* Report and coordinate repairs for faulty equipment.
* Maintain resource management systems and suggest improvements.
* Perform specific Visor administration tasks.
* Attend and support meetings, including organizing agendas and taking minutes.
* Ensure compliance with Health and Safety policies and undertake equipment tests.
* Provide cover within the unit and other divisions as appropriate.
* Carry out safeguarding duties in line with statutory responsibilities and policies.
* Model and promote pro-social behavior, challenging anti-social attitudes.
* Work within the values of PS and HMPPS.
