Overview
We are seeking an experienced person to provide admin support to Sutton Community in Sutton. The post is 5 days a week, 37.5hrs, Monday‑Friday 9am to 5pm. The post will work with the Merton Uplift Admin Team.
Responsibilities
* Use computerised information systems (RiO and IAPTus) and other data systems efficiently.
* Collate statistics and returns as required by the Trust and Local Authority.
* Process medical correspondence, book appointments and maintain filing systems.
* Act as the first point of contact for patients, relatives/carers and other professionals, and handle service queries.
* Ensure referrals to the team are processed efficiently and that referral data on electronic patient care records or Local Authority systems is accurate and up to date.
* Support team members to access basic information held on My Dashboards.
* Ensure that all service users, patients and visitors are received in a courteous and efficient manner.
* Facilitate effective communication within the team by providing messages and information.
* Handle telephone enquiries politely and sympathetically, ensuring messages are passed on promptly and accurately.
* Support the administration of team meetings by recording meeting actions, preparing agendas and associated papers, and following up on actions.
* Organise meetings, including room bookings or video conferencing where possible.
* Ensure that administration related Trust KPIs are addressed through regular reports provided by the Team Manager.
* Liaise with the Administration Team Manager on matters relating to building maintenance, and coordinate support services (domestic, catering, security, estates, etc.).
* Order and purchase stationery and office supplies for staff, and monitor supplies to maintain adequate levels.
* Maintain confidentiality of service users and professional information.
* Take responsibility for ensuring the security, cleanliness and maintenance of premises and equipment.
* Photocopy, scan and email documents as requested by other members of the team.
Qualifications
* Previous administrative experience.
* Excellent verbal and written communication skills.
* Proven organisational and prioritisation skills.
* Ability to multitask in a busy office/reception environment and work independently.
* Flexibility to work in a changing environment.
* Good working knowledge of Word and Excel.
* Experience with RiO is advantageous.
