Medical Secretary/Administrator – Palliative Care Team
An exciting opportunity has arisen to join the Palliative Care Team as a Medical Secretary/Administrator.
The ideal candidate will have excellent communication and organisation skills, strong typing skills and knowledge of medical terminology to ensure provision of a high quality and efficient administrative/secretarial service to the palliative medicine consultants and the clinical nurse specialist team.
You must have good attention to detail together with the ability to prioritise your own workload to meet deadlines. Duties will include dealing with telephone enquiries, letters, email, diaries, chasing deadlines, collation of information/results for reports and typing of clinic letters.
Key Responsibilities
* Provide administration support to the Palliative Care Team as required.
* Use Electronic systems i.e. HIVE, Health Roster.
* Manage telephone and e‑mail queries.
* Organise meetings/events/diaries for others, including agenda setting, taking minutes and follow‑up actions.
* Book clinician appointments and clinics; proofread clinic letters to patients, GPs, medical staff and any other required addressee following clinic attendance.
* Place orders, manage deliveries and replenish stock cupboards.
* Maintain spreadsheets and electronic documents.
* Prioritise workload, work without direct supervision.
* Reserve meeting/clinical rooms.
* Complete regular audits and stock checks.
* Attend meetings and training as required.
* Undertake routine office duties including photocopying, scanning and uploading correspondence and results, and maintenance of records when required.
* Circulate information to staff as directed by the management team, ensuring distribution lists are kept up to date.
Key Qualifications
* Previous secretarial experience.
* Excellent communication and organisational skills.
* Strong typing proficiency.
* Knowledge of medical terminology.
* Ability to work flexibly as part of a team.
* Attention to detail and strong prioritisation skills.
