We are searching for a highly organised and proactive individual to provide essential frontline support to two incredible specialist services across inner London: the Community Dietetics Service and the Specialist Weight Management Service (SWMS).
The Community Dietetics Service is a proactive and successful team of dietitians and dietetic assistant practitioners, working across the three inner boroughs of London (Westminster, Kensington & Chelsea and Hammersmith & Fulham).
SWMS, based in Kensington and Chelsea, is a Tier 3 weight management service that supports people living with severe obesity to lose weight and improve their health. The team brings together expertise from dietitians, a physiotherapist, a clinical psychologist and a physician, working collaboratively to deliver compassionate and empowering care.
As the post holder, you will play a vital role in providing front-line administrative support to both teams, ensuring efficient processes and smooth service delivery. Strong time management, excellent communication, organisational skills and the ability to work effectively as part of a team are essential.

Main duties of the job
* Provide a front line service to both teams by managing incoming telephone queries and emails, taking appropriate action in a timely and professional manner.
* Maintain efficient filing systems, oversee office supplies, and support the management of clinical equipment.
* Take responsibility for confirming appointments, communicating appointment details clearly to patients, carers, and clinicians, and ensuring effective handovers.
* Manage team members’ clinical rotas to support service continuity.
* Monitor and manage administrative processes relating to CLCH’s data reporting, including waiting times and ethnicity reporting, ensuring accuracy and accountability.

Qualifications
* Good general standard of education to GCSE Level (Grade A-C) including English and Mathematics or equivalent Level 2 qualification(s) in Maths and English
* Educated to diploma level or equivalent level combination of NVQ 3 education, short courses and experience
Experience
* Experience in running an office including managing, maintaining and developing databases and filing systems
* Experience of using patient administration systems
* Experience of prioritising workload to meet conflicting demands
* Previous administration/secretarial experience
* Experience of working with the general public in a customer or client facing role
* Experience of working in the NHS/Public sector
* Experience of organising meetings and events including speakers
Skills & Knowledge
* Excellent communication skills both verbally and in writing with the ability to communicate at all levels and across a variety of agencies with negotiating and persuasive skills
* Excellent organisational and administrative skills and the ability to set up office systems and monitor review and implement changes to existing working practices
* Competent in the use of MS Word, Excel, PowerPoint, Scheduler and Outlook (or similar application)
* Ability to work effectively in a team and autonomously
* Understands the need for confidentiality, including electronic information
* Experience of working in an environment requiring an awareness of safeguarding children and vulnerable adults
