Owen Reed is looking to recruit a Part-Time Receptionist to join the Facilities and Front of House team for a top law firm in London. The Receptionist will provide a first welcome link between clients and the firm, offering an excellent first impression either in person or on the telephone. You will also assist the wider office and facilities team with general administration, post-event support, and by providing an efficient and flexible service to internal clients. Working Pattern: Monday, Tuesday, Thursday and Friday (8:30am - 5:30pm). Key Responsibilities of Receptionist : Provide a warm, welcoming first impression of the highest standard for clients and staff when arriving at reception Promptly and courteously answer and record telephone and reception enquiries and deal with persons calling at the office with appointments or documents Look after clients waiting in reception, notifying fee earners of their arrival and showing them to fee earners or interview rooms Be responsible for all documents and post arriving in the office during the day Ensure every item and visitor is logged consistently for records Provide refreshments for clients/meetings where requested Provide support for events as required, including cleaning after events have finished Work with tact, diplomacy, and discretion with clients both in person and on the telephone, maintaining confidentiality at all times Use the Teams system and answer telephone enquiries promptly and efficiently Provide occasional cover for reception at other offices when required Attend departmental meetings and training as required Prepare, refresh and ensure high standards in all meeting rooms before and after each use Work alongside facilities in hosting large events, including setting up and clearing down Be flexible around attending/hosting events as required Manage the smooth operation of all nine meeting rooms Produce documents, letters and emails as required for other teams Handle general administrative tasks such as copying, scanning, filing, and emailing documents Input data into the CRM system as required Assist with web enquiries, faxes, and general email enquiries Skills, Experience, and Attributes: Experience as a Receptionist in a professional services environment is desirable Previous hospitality experience is essential Strong administrative skills (filing, scanning, photocopying etc.) Experience of handling telephone enquiries and using a switchboard system Excellent organisation skills with the ability to prioritise effectively A strong customer service focus with a professional, proactive attitude
