We are seeking a proactive and detail-oriented Team Administrator to provide comprehensive support to our dynamic team. From managing client inquiries to ensuring seamless project delivery, the ideal candidate will play a pivotal role in enhancing our operational efficiency and client satisfaction. This position involves coordinating various administrative tasks, maintaining accurate records, and fostering effective communication both internally and externally. Duties/ Responsibilities/ Accountability Develop and maintain electronic information and enhance knowledge recovery process. Oversee client opportunities and ensure CRM is effectively used. Follow up outstanding opportunities and proposals with clients and liaise to ensure deadlines are met. Formatting proposals and reports using BSRIA templates. Responding to enquiries including issuing quotations/proposals as required. Process of goods and contracts from receipt through to delivery. Process new projects/service enquiries, make up/maintain project files, capture and monitor project deadlines. Using dedicated financial software, invoice projects/deliverables, process pro forma invoices, credit notes and proactively deliver monthly project invoices. Chase up outstanding invoices and pro forma invoice payments. Act as link with Finance to ensure accurate financial reporting and escalate deviations as necessary. Seek client feedback for quarterly feedback report Complete management figures for monthly reports and check overhead expenditure. Ensure departmental procedures are up to date and followed by team. Assist the group with general reporting and administration. Answer telephone and deal with enquiries. Organise logistics for the team including couriers, travel arrangements and PPE. In conjunction with the Instrument Operations Coordinator, assist organising staff workloads. General support for the business, providing extra administrative support/management where required. Any other duties that commensurate with the role.
