Applications are invited for a permanent full-time post in Human Resources within the Professional Services domain of Bangor University.


Role Purpose

The HR Clerical Officer provides administrative and clerical support to the Human Resources department, ensuring the efficient and accurate maintenance of employee records in respective systems, HR documentation, and day‑to‑day HR operations. The role is part‑funded by MEDR health and wellbeing funding and supports a range of administrative activity across the HR team.


Key Responsibilities


Supporting the Staff Development Function

* Support the HR Officer (Staff Development) in the administration of HR development activities.
* Using the iTrent system, create training programme events, manage bookings, arrange venues, and issue joining instructions.
* Support the induction programme for new staff members, booking venues, sending joining instructions and invitations, and liaising with contributors to ensure accurate information.
* Utilise relevant systems (ITrent, Bangor BI, Blackboard) to produce reports and data on staff development activities, attendance, mandatory training, HEA teaching qualification data, and performance development reviews.


Supporting Staff Health and Wellbeing

* Assist the Health & Wellbeing Project Manager on MEDR funded health and wellbeing activities.
* Handle administrative tasks such as arranging meetings, minute‑taking, processing invoices, purchase orders, dealing with general enquiries, and acting as a point of contact for internal and external queries about staff wellbeing activities.
* Coordinate routine health surveillance recall appointments, maintain accurate records, and archiving occupational health documentation.


General HR Responsibilities

* Respond to queries and requests from third parties, including mortgage and tenancy references, and administer work experience opportunities for local Schools and Colleges.
* Monitor generic e‑mail accounts and physical mail, responding and distributing messages accordingly.
* Administer the Jury Service process, archive staff files in line with procedures, and respond to information requests such as auditors, GDPR/Data Protection, and stock overview such as stationery.
* Provide cover for the department’s Executive Assistant during absences, including processing DBS applications, monitoring e‑mail, arranging meetings, and supporting staff absence coverage.


Other Duties and Responsibilities

* Participate in performance review and developmental activities.

* Exercise a general and legal duty of care regarding health, safety and wellbeing, including compliance with relevant policies, procedures and risk assessments.

Candidate Requirements


Qualifications and Training

* Minimum of 5 GCSEs at grades A*-C (incl. English and Maths) or NVQ Level 2 in a relevant subject area (or equivalent).
* NVQ Level 3 in a relevant subject area (desirable).
* ECDL Certificate (desirable).


Experience and Knowledge

* Experience working within an office or administrative environment.
* Proficient in Microsoft Office applications.
* Understanding of GDPR legislation and confidentiality.
* Experience working with HR systems (desirable).


Skills and Abilities

* Good communication and interpersonal skills, with the ability to communicate effectively, both orally and in writing.
* Web editing skills.
* Excellent organisational skills and ability to handle a varied and demanding workload.
* Accurate data entry and attention to detail.
* Proactive mindset and recommend changes for improvement.
* Ability to manage workload, prioritise tasks and meet deadlines.


Languages

* The ability to speak Welsh confidently and to perform certain written tasks in Welsh is essential.
