Offer description

At Encore, we’re here to make residential property management feel personal, thoughtful, and seamless. Since we opened our doors in 2004, our mission has been simple: to deliver an outstanding experience for every customer, with genuine care at the heart of everything we do. We don’t just look after buildings, we look after the people who call them home, treating each property as if it were our own.

The Encore culture not only attracts the brightest talent, but also industry recognition as we've been awarded Employer of the Year on many occasions. Our ambition is to be regarded as the most professional managing agent in the country - with a team of exceptional people who are energised by what they do. We're all about communication, collaboration, teamwork – and having fun while we work. Creating an inviting environment for our people to be inspired, learn, and flourish can make all the difference.

The Role:
As a Property Administrator (at Encore, we call them Assistant Property Managers), you will be a key member of our Estate Management team, helping to ensure that our communities are well-maintained and efficiently run. You will support day-to-day operations by engaging with residents, coordinating maintenance and repair efforts, and maintaining accurate records and systems. Your role will contribute directly to creating a positive experience for our clients. This role offers fantastic career growth opportunities, including the chance to step into an Estate Manager position within our team in just 12 to 18 months.

What You’ll Be Doing:

Customer Service: Be the first point of contact for residents, handling queries, resolving issues, and maintaining clear, friendly, and professional communication.

Data Management: Keep our property management system (Qube) fully up-to-date, ensuring all information is accurate and organised.

Maintenance Coordinator: When something needs fixing, you coordinate with contractors, manage works orders, and ensure timely, high-standard completion.

Health & Safety: Ensure all health & safety legislation and company policies are followed, keeping estates safe and compliant.

Financial: Assist in managing budgets, issuing purchase orders, and supporting financial reporting to control costs.

About You:

* You’re passionate about delivering excellent customer service and enjoy building relationships with residents and clients.
* You’re a natural multitasker, able to manage your time and juggle tasks efficiently.
* You have experience with systems like databases (Qube knowledge is a bonus) and are confident using Microsoft Office.
* You communicate clearly and professionally—over the phone, in writing, or face-to-face.
* You have experience working with contractors and managing reactive maintenance (or are eager to learn!).

What You’ll Bring:

* A proactive, solutions-oriented mindset – approaching challenges with optimism and focus on effective resolutions.
* Strong attention to detail – consistently delivering high-quality work.
* A collaborative spirit – thriving in a team environment and contributing to shared goals.

Qualifications & Experience:

* A good standard of education is essential.
* Property qualifications (e.g., IRPM Part 1) are advantageous but not essential.
* Previous experience in customer service and contractor management is desirable.

Why Work with Us?:

* Great Team Environment: Be part of a friendly, supportive team that works hard and has fun.
* Growth Opportunities: We support your development with extensive training and career progression.
* Competitive Salary & Perks: £26,500 per annum, benefits, and a positive workplace culture.

At Encore, we pride ourselves on delivering outstanding service and managing valuable residential estates with expertise and care. This is your opportunity to grow into a leadership role while making a real impact in the lives of our clients.

This role requires working from the Nottingham office 4 days a week and 1 day from home.
