About the Role
We're looking for a confident, detail-oriented, and proactive Operational PA to support the Head of Operations and senior leadership team. This is a senior administrative role suited to someone who is highly capable, trusted, and ready to step into a position of responsibility.
You’ll play a key role in supporting internal operations, reporting, team coordination, and business-critical admin—ensuring things run smoothly behind the scenes as we continue to grow. You’ll also act as a trusted point of contact for suppliers and partners, and provide dependable support to senior team members when needed.
This is a full-time, in-office role based in Edinburgh, with some weekend flexibility required during peak periods.
Operations & Administration
* Manage supplier payments and oversee key operational admin
* Order and track materials and stock for guest holidays
* Conduct first-stage checks on supplier invoices and maintain accurate records
* Prepare guest welcome packs and holiday-related documentation
* Liaise with suppliers and external partners on timelines, contracts, and logistics
* Act as a point of continuity and support in the absence of the Head of Operations
* Private Group Coordination
Team & Leadership Support
* Coordinate staff 1:1s, performance reviews, and development meetings
* Collect and format team feedback for reporting to leadership
* Book and manage travel and accommodation for senior team trips or off-sites
* Provide direct administrative support to other senior leaders as needed
Organisation & Data
* Maintain well-organised digital files and operational systems
* Keep CRM systems and supplier information up to date
* Prepare weekly KPI reports and operational dashboards for the senior team
* Support internal compliance processes, including GDPR and documentation standards
Skills Required
What We’re Looking For
* At least 2–3 years of experience in a senior PA, executive assistant, or operations admin role
* Confidence working with senior leadership and handling sensitive information
* Excellent time management, prioritisation, and attention to detail
* Strong communication skills – both written and verbal
* Proficiency with Google Workspace (Docs, Sheets, Calendar, Drive)
* Calm, capable, and solution-focused under pressure
* Someone who enjoys working autonomously but thrives in a collaborative team
* Highly ambitious and motivated individual
