Salary: £36,636‑£46,049 (potential progression to £48,822)

Grade: 7

Background

We are recruiting an Executive Officer to join the College of Engineering and Physical Sciences Hub. The role supports senior academic and professional services colleagues, coordinating governance, committee work, briefings, policy development and project management.


Role Summary

The Executive Officer is line‑managed by the Deputy Director of Operations (Administration) and works across the EPS College. The position involves leading on College Governance, coordinating support for committees, preparing briefings, papers, and presentations, undertaking research and policy support, and managing multiple simultaneous projects.


Main Duties


Executive Support

* Coordinate executive support for the College Academic and Professional Services Senior Leadership Team (SLT).
* Provide general support to College Senior Officers, including research and information gathering, planning and coordinating College activity.
* Support the annual cycle of business planning activity across the College, e.g. School Planning meetings.
* Line manage the College Hub Team.
* Coordinate the College Secretariat to support committees, including agenda, report and minute preparation, follow‑up actions, and particular responsibility for College Board meetings.


Governance support

* Support delivery of projects: planning, coordination of actions, managing communications, organising events and workshops, and secretarial support for meetings.
* Support coordination and maintenance of College / School Business Continuity Plans.
* Support College processes liaising with Legal Services around Information Security, Freedom of Information and GDPR compliance.
* Monitor College compliance with mandatory training and liaise with Schools on resulting actions.
* Support Professional Services People & Culture activities.


Communications

* Lead college internal communications, including events and bulletins.
* Coordinate College‑level forums/meetings (e.g. Professional Services Town Hall).
* Write papers, reports, briefings, and management information for internal and external audiences.
* Work with Senior Officers to prepare presentations for meetings.


Operational Processes

* Collaborate with School Operations Leads to streamline processes, including automation.
* Coordinate with School Operations Leads to ensure process efficiency across Schools and the College.


Person Specification


Skills and Experience

* Degree level or equivalent work experience.
* Outstanding writing skills—producing high‑quality papers, reports, briefings, and presentations to senior management.
* Excellent organisational and administrative skills, with experience managing complex projects.
* Strong IT proficiency, including automation tools, AI technologies and Microsoft 365 cloud applications.
* Excellent interpersonal skills—tact, diplomacy and ability to work at all levels.
* Commitment to Equality, Diversity and Inclusion in an institutional setting.
* Ability to collaborate, persuade and build effective networks.
* Experience researching and analysing complex material to produce policy‑influencing reports.
* Sensitivity to confidentiality and experience working within information governance and statutory compliance frameworks.
* Experience servicing committees and working groups.
* Proactive, flexible, strong time‑management and willingness to respond to changing priorities.
* Initiative, personal judgement and self‑motivation, with creativity and ability to work under broad direction.
* High standard of presentation, accuracy and attention to detail.
* Strong interest and understanding of key policy issues in higher education and management.
