Job Summary
Administers day-to-day fiscal, administrative, and operational activities of a department or set of departments. Administers fiscal, budgetary, and/or other associated transactions, strategic implementation and administration, internal and external operational/administrative liaising, and reporting.
Job Description
* Administer and oversee day-to-day fiscal activities, including financial transactions, budget tracking, and expense management for the department.
* Assist with administrative tasks such as coordinating meetings, managing correspondence, and maintaining records and documentation.
* Develop and monitor departmental budgets, ensuring adherence to financial policies and procedures.
* Support strategic implementation efforts by collaborating with departmental stakeholders to align operational activities with organizational goals and priorities.
* Serve as a liaison between the department(s) and internal stakeholders, other departments, and external partners or vendors.
* Conduct research and analysis to provide recommendations on operational and administrative improvement opportunities.
* Prepare regular reports and presentations on departmental performance, financial status, and operational metrics for management and other stakeholders.
* Assist in the development and implementation of administrative policies, procedures, and guidelines to ensure compliance and best practices.
* Coordinate and support departmental projects and initiatives, including tracking progress, facilitating communication, and ensuring timely completion.
* Assist all areas of Student Housing with hiring process.
* Work with all areas of Student Housing for student hires.
* Work with areas in Student Housing to ensure time entry system is working as it should and provide needed training for areas.
* Manage inventory of office supplies for department.
* Submit scholarships as needed for student staff.
* Assist with year-end damage billing.
* Manage the contracts and request for proposal process for department including writing and editing documents, working directly with vendors/contractors, routing through appropriate channels for signatures.
* Monitor end dates and spending on contracts and provides guidance to staff on next steps for renewals or termination.
* Assist with procurement duties as needed.
* Assist with submitting bids, RFPS, contracts, information to IHL and ITS.
Job Responsibilities
Candidates must be able to manage their time, anticipate needs of others and work under tight deadlines often managing more than one project at a time.

$51,604.80 - $77,396.80
