Vertu Head Office, Gateshead Vehicle Order Administrator- £23,809 basic salary plus bonus (OTE £26,810) This is a vital position supporting the operations of the Group Fleet team. The role holder will be responsible for managing vehicle orders and associated administration to support our key account customers and sales executives. You’ll ensure all vehicle ordering processes run smoothly — from receipt of orders through to delivery — while maintaining excellent communication with both customers and internal teams. The role is key to ensuring customers are kept fully updated on their orders, stock movements are managed efficiently, and all vehicle-related administration is accurate and compliant with internal processes and Lease Co/public sector SLA requirements. You’ll play an important part in maintaining high customer service standards and supporting the Senior and Key Account teams in delivering a seamless experience. Key Responsibilities Receive, process, and track vehicle orders accurately through to delivery. Input orders into Sales Master ensuring all details (OTR, invoice, registration address, specifications) are correct. Provide regular updates and reports to customers and sales executives regarding vehicle status and delivery timelines. Manage stock availability and ensure timely offering to prevent delays or fully paid stock being held. Coordinate delivery calls, bookings, and transport/PDI instructions. Support invoice and debtor processes, ensuring documentation is complete and uploaded promptly. Escalate any issues, order holds, or process delays to the General Manager or relevant Key Account Manager. Maintain accurate administration records and uphold all process and compliance standards. Experience Required Previous experience in a vehicle administration, fleet administration, or sales support role within the motor trade is highly desirable. Experience liaising with dealership teams, leasing companies, or logistics providers. Proven ability to manage multiple administrative tasks within set deadlines.
