Role Details:
We are seeking a proactive Programme Team Coordinator to join our team. You will work closely with the Programme Management team and Resource Manager to maintain staff trackers and forecasts, ensuring effective resource allocation and management. You will play a key role in tracking timesheets, leave, absence, and hours worked, while also addressing recruitment needs across our team. You will act as the main point of contact to the Resource Manager. Additionally, you will assist in maintaining the SAL register in collaboration with the Security Manager.
The position will be based in Kentigern House, Glasgow, on a hybrid basis (2 days home, 3 days office).
Key Responsibilities:
* Maintain and update staff trackers and forecasts to ensure resource availability aligns with Programme demands.
* Monitor and review timesheets, ensuring accuracy in reporting hours, leave, and absence for all team members. Managing diaries and availability during absences and leave.
* Work with the Security Manager to maintain and update the SAL register.
* Work with Line Managers to identify training needs across the team.
* Organise and schedule training sessions and workshops.
* Maintain accurate training records, including certifications and evaluations, ensuring compliance with project requirements.
* Generate regular reports on staffing metrics, and recruitment progress for management review.
* Work collaboratively with the colleagues across the team to identify improvement opportunities.
* Support LFE activities for your project(s) – helping to capture and share relevant LfE from and across your project(s).
Key Requirements:
Essential
* Proven experience in resource coordination, HR coordination or project support.
* Strong organisational skills
* Proficient in all Microsoft suites including Excel, Word and Outlook.
* Excellent communications and interpersonal skills.
* Ability to work collaboratively in a team environment and manage priorities effectively.
Desirable
* Experience in working in a Portfolio, Programme and Project environment.
