Administrator
We’re looking for an Administrator to provide full comprehensive administration support to the Regional Manager, IOS Barhale Senior Management team and the IOS Barhale team.
Support team members, ensure diary management, travel, accommodation, and production of documents as required. Order office supplies and track budgets.
Key Responsibilities
* Provide weekly and monthly reports collating data from IOS sites.
* Assist in the update and production of monthly reports, KPI information, presentations, briefing papers and any other documentation as requested by the Regional Manager and senior team.
* Build and manage internal and external customer relationships, acting as first point of contact for queries and redirecting to appropriate person.
* Coordinate and organise external and internal meetings, ensuring the team has relevant documentation prepared.
* Manage and update IOS SharePoint information pages.
* Establish and maintain office procedures and systems (e.g., filing systems).
* Administer leave requests, ensuring the IOS team is aware of all holiday leave.
* Daily administrative tasks as requested by IOS Senior team.
* Administration of budgets, including IOS office IT & stationery, ensuring cost-effectiveness.
* Key contact for travel and accommodation booking system, manage and communicate changes.
* Manage legal contract administration and archiving system, ensuring files are stored per procedures.
* Key contact for facilities management for the office, with guidance from the HSEQ team.
* Attend meetings, take accurate notes, distribute promptly, monitor action points.
* Manage incoming and outgoing post.
* Ensure the diary of Regional Manager is managed effectively, arranging events.
* Book meeting rooms, issue meeting papers, ensure equipment available.
* Take telephone calls and ensure relevant messages communicated.
Essential
* Administration experience.
* Proficiency in the Microsoft Office suite.
* Ability to communicate at all levels.
* High regard for confidentiality.
* Ability to work with minimal supervision.
* Willingness and enthusiasm to take on new challenges and develop the role.
Desirable
* A‑Level/BTEC business qualification, or equivalent.
* Experience within the built environment industry.
