Job summary

We are looking for a capable, enthusiastic and committedReceptionist with excellent communication/ interpersonal skills to replace aretiring employee. We are offering 36 hours per week.

The role will include answering phones, navigating patientsto the correct service/appointments, manning front desk, scanning,prescriptions and other administrative tasks requested by the GPs.

Experience of working in the NHS would be an advantage butis not essential.

Administration

To have a thorough knowledge of all Practice procedures. To work in accordance of written protocols Pulling/filing notes for surgeries and update as necessary Incoming paperwork (e.g., post, requests for prescriptions, photocopying,) Scan incoming letters Check practice generic emails Filing post in medical records Photocopy as requested Outgoing paperwork (referrals, business letters, claims, forms, repeat prescriptions Ensure correspondence, letters, reports, results etc. are filed electronically in correct patient record Deal with Online consultation Undertake administration tasks as allocated on rota organised by Senior Receptionist.

Reception

Receiving patients consulting with members of Practice team Handing completed repeat prescriptions to patient and checking names and address. Be able to cover all reception position as necessary Contact with patients, appointments, greeting patients on arrival, directing as appropriate, dealing with visitors, informing patients of late running surgeries, registering new patients, explaining services Ensure reception and waiting areas are kept neat and tidy

DUTIES

1. Attend to Patients at the Reception Desk. To learn,understand and maintain the computerised appointment system relating to theDoctors and Practice Nurses and carry out all relevant procedures.

2. Assist the Patients with any problems of a general natureas and when they arise. Answer the telephone, take messages and convey theircontent to the appropriate Doctor or Nurse via the message book system andother members of staff and relay replies back to the Patients as applicable.

3. Acquire a good knowledge of the Practice procedure forregistering new patients and the rules regarding the movement of existingpatients. Ensure that all relevant forms are completed correctly and therelevant proofs of address are provided before submission.

4. Ensure that the full details of any Home Visit requestsare taken and ensure that the correct details are passed to the correct Doctorbearing in mind the rota applied when a GP is absent and rules for visitsreceived after 11.00 am.

5. Handle urgent requests for appointments/visits,contacting the Doctor on call as necessary and deal with all emergencies in aprompt and efficient manner. Assist clinical staff as necessary when dealingwith emergencies in surgery.

6. Make arrangements for hospital transport as requiredensuring that the correct details are forwarded to the transport provider andconfirm that the booking has been received.

7. Make arrangements for Interpreters as required ensuringthat the correct details are forwarded to the provider and confirm that thebooking has been received.

8. Scan and email documents as and when required ensuringthat a sent confirmation is received and the request and confirmation is filed.

9. Assist Patients with queries relating to the repeatprescription system ensuring that patients are fully aware of the 72 hour leadtime for processing prescriptions.

10. Make full use of the computer system, both EMIS andDocman, and familiarise oneself with the operation of the same using thecomputer as required for obtaining, recording and updating patient informationetc.

11. Operate the Practice procedure for providing copies ofpathology results to patients and the recording of the same.

12. Operate the Practice procedure for providing patientinformation to Secondary Care Providers and the recording of the same.

13. Operate the Practice procedure for actioning patientsrequests for blood test forms.

14. Operate the Practice procedure for contacting patientsre pathology results and letters where further action is required.

15. You may be called upon to liaise with the computersoftware suppliers (INPS) or the local IT Department for computer (hardwarefaults) in the event of problem occurring.

16. Be responsible for opening/locking up the Surgerypremises (including outside gates and shutters) and switching the burglar alarmon/off as appropriate.

17. Carry out any special procedures as required ie checkingthe computerised appointment system, computer listings and any other specialprojects.

18. To liaise and co-operate with all colleagues includingattached staff ie Health Visitors, District Nurses and Midwife.

19. To be involved in the opening and distribution ofincoming post, recording all outgoing post and balancing the post.

20. Attain a working knowledge of the franking machine.

21. To be responsible for the operation of the ReceptionIncome and Reception Petty Cash systems ensuring that all book work and moniesagree.

22. Attend any necessary training courses/sessions. Tolearn, understand and participate in the running of new procedures as requestedby the Practice Manager.

23. To participate in the training of new members of staff arequested by the Practice Manager.

24. Ensure that a sufficient supply of in-house forms ismaintained at all times.

25. To ensure that the waiting room is tidy at all times ieleaflets, magazines, posters etc.

26. Make liquid refreshments as necessary.

27. Carry out any other reasonable duties requested by themanagement team or Doctors.
