As Personal Assistant to the EMEA Regional Chief Auditor at MUFG in London, you will become an indispensable member of a highly regarded audit function. Responsibilities
* Provide comprehensive administrative support to the EMEA Regional Chief Auditor, managing complex diaries, scheduling meetings across multiple time zones, and coordinating travel arrangements with meticulous attention to detail.
* Prepare high‑quality correspondence, reports, presentations, and briefing materials for internal and external stakeholders, ensuring all documentation is accurate and delivered on time.
* Act as a key point of contact between the Chief Auditor’s office and other departments within MUFG, facilitating clear communication and fostering positive relationships throughout the organisation.
* Organise and coordinate events such as board meetings, workshops, conferences, and team off‑sites, handling logistics from start to finish to ensure seamless execution.
* Monitor incoming communications – including emails, calls and post – prioritising urgent matters and responding or redirecting queries as appropriate with professionalism and discretion.
* Support project management activities by tracking deadlines, following up on outstanding actions, and maintaining records for ongoing initiatives within the audit function.
* Assist with confidential matters relating to audits or investigations by maintaining strict confidentiality protocols at all times.
* Manage expense claims, invoices, purchase orders and budget tracking for the Chief Auditor’s office in line with company policies.
* Contribute proactively to process improvements within the team by suggesting new ways of working that enhance efficiency or collaboration.
* Provide ad‑hoc support on special projects or tasks as required by the Chief Auditor or wider audit leadership team.
Qualifications & Experience
* Demonstrated experience as a Personal Assistant or Executive Assistant supporting senior executives in a large corporate or financial services environment is essential for this role.
* Exceptional organisational skills with proven ability to manage multiple priorities simultaneously while maintaining accuracy under pressure.
* Excellent written and verbal communication skills are necessary for preparing professional correspondence and interacting confidently with stakeholders at all levels.
* A high degree of discretion when dealing with confidential information is vital for success in this position.
* Advanced proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint); familiarity with virtual meeting platforms is advantageous.
* Strong interpersonal skills to build positive relationships across diverse teams within an inclusive workplace culture.
* Proactive problem‑solving abilities enable you to anticipate challenges before they arise and suggest practical solutions that improve efficiency or service quality.
