Job purpose
To provide executive, administrative and office support to ensure the daily running of the Executive team and the office environment. This includes coordinating meetings, preparingdocumentationand managing diaries and visitors. This roleis responsible forliaising with internal and external contacts and managing general office administration,suppliesand onsite requirements.
Main responsibilities
1. Provide full executive and administrative support to the executive team, including diary management, meetingcoordinationand travel arrangements.
2. Prepare meeting agendas, takeminutesand distribute relevant documents and follow-up actions.
3. Manage emails and phone enquiriesin a timely manner.
4. Maintain filing, records, confidentialinformationand documentation.
5. Liaise with internal teams and external contacts,suppliersand visitors.
6. Support the coordination of onsite requirements including ordering supplies, booking meeting rooms and arranging catering or visitor needs.
7. Assistwith the preparations of presentations,documentsand reports asrequired.
8. Monitor office equipment,facilitiesand general workplace requirements, escalating any issues whereappropriate.
9. Provide general business support onday-to-daytasks, ensuring smooth running of business and office operations.
10. Keep up to date with industry,governanceand internal change.
Knowledge, skills and experience required
11. Strong admin and organisation skills, with experience supporting senior leaders.
12. Strong Microsoft Office skills (Word, Excel, PowerPoint, Outlook) and experience preparing documents and presentations.
13. Ability to understand and interpret data.
14. Ability to prioritise and manage multiple tasks and work independently.
15. Demonstrates a positive approach, flexibility, and willingness to support a wide range of business and admin tasks.
