Operational Excellence: You’ll provide high-quality administrative support to our clinicians and the wider admin team, ensuring the clinic runs like clockwork.
Flexible Support: While you’ll be based in West Kent, you’ll occasionally support our East Kent team in Ashford, ensuring a consistent and reliable service for all our patients.

Main duties of the job
* Manage reception, meet and greet patients, carers and visitors, signposting them to where to sit and wait for their appointment.
* Answer incoming calls via the 8×8 system, taking accurate messages and passing them on to relevant staff.
* Make calls to patients arranging appointments and confirming appointment times, manage the appointments on RiO and type and send out appointment letters.
* Process incoming referrals: scan and upload to RiO, open them to our Service and prepare documentation for MDT.
* Process outcomes of MDT by sending acceptance and decline letters in a timely manner.

Person Specification
Essential qualifications:
* NVQ Level 2 or equivalent in administration with proven experience (Certificate to be brought to interview)
* A-C Grade GCSE Mathematics (with certificate to be brought to interview)
* A-C Grade GCSE English Language (with certificate to be brought to interview)
Desirable qualifications:
* NVQ Level 3 or equivalent in Business Administration (Certificate to be brought to interview)
Essential experience:
* Minimum of two years experience of working in a healthcare environment preferably NHS with demonstrable experience of working in an administration environment and working with computerised systems
Desirable experience:
* Experience of working in a healthcare environment, preferably NHS
Essential knowledge and skills:
* Ability to use Microsoft 365 packages to include Outlook, Powerpoint, Excel and TEAMS to a high standard
Desirable knowledge and skills:
* Excellent proven communication skills both in face to face situations and over the telephone and the ability to handle sensitive information in an empathic manner
