We are seeking a highly motivated and detail-oriented Business Support and Project Executive to join us! This role combines operational support with project coordination, providing essential assistance to senior leadership while driving key initiatives forward. Duties include:
* Oversee and support in the management of Directorate communications, drafting and where appropriate responding to inbound and outbound comms, including but not limited to emails, letters, and calls.
* Plan and arrange Leadership and other committees and groups as required.
* Managing the Directorate digital filing systems, mailing list and contacts database, taking telephone messages and dealing appropriately with incoming and outgoing communications.
* Supply comprehensive information in response to internal and external requests to include in website/intranet services, governance requests, document review, and research.
* Liaise with the Director and Heads of Service to actively update and manage the Directorates workload and project plan, taking ownership of the management and oversight of project progress and completion.
* Take ownership of the central project management system, overseeing all documentation and reporting.
* Participate in project boards and meetings, taking minutes and recording key actions and owners.
* Support in the management and delivery of project milestones, budget, resource, deadlines, and prioritisation
* Work to streamline and improve data and reporting to better service the needs of the Directorate and business.
Essential criteria
* Excellent working knowledge of Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
* Confident user of digital collaboration tools (e.g. MS Teams, SharePoint, Trello/Planner).
* Strong knowledge of project planning processes, including milestones, deliverables, and risk identification.
* Knowledge of business reporting and governance principles, including how to compile, structure, and present executive-level reports.
* Experience providing high-level administrative or executive support to senior leaders or directors and managing / coordinating complex diaries and meetings.
* Experience supporting project delivery or managing project documentation across multiple workstreams.
* Proven experience handling competing demands and meeting tight deadlines in a fast-paced, customer-focused or agile business environment.
* Salary of £32,507 up-to £36,229 per year depending on experience
