Overview

The key purpose of the role is to support the Head of the Judicial Liaison, the Judicial Liaison Managers and the Judicial Liaison Officers in ensuring the business needs of the region are met through the successful and efficient deployment of judicial resources. The post holder is part of a small team responsible for effective planning and management of the judicial resources across the Region and other aspects of judicial administrative management. The post-holder will provide a key link to the Cluster and Courts, particularly in relation to bookings for fee-paid judiciary.


Responsibilities

* Act as first point of contact for the booking of fee paid judiciary
* Process bookings for fee paid judiciary
* Update court sitting patterns and itineraries with agreed changes and circulate as necessary
* Ensure all records and databases are maintained promptly and 100% accurate
* Assist in the production of sitting plans and resource schedules for efficient service delivery
* Accurately input, update and maintain relevant resource planning systems and records as required
* Assist in the preparation of reports as required
* Support and assist in all aspects of planning activities
* Circulate sitting day and other judicial reports to Clusters and Courts as required
* Deal with incoming correspondence and queries
* Maintain records for all business performance related operational documentation, publications and materials
* Undertake additional support and administrative related assignments as directed
* Provide administrative support for training, swearing-ins arrangements, ticketing, maintaining databases and spreadsheets, running reports and queries
* Draft correspondence as required
* Assist with the daily management of objectives to ensure targets and deadlines are met
* Check and verify that compliance and administration documentation meet quality standards
* Collect and assemble information for management reports
* Process some financial information and produce basic statistical analysis reports
* Contact and effectively communicate with a range of internal and external stakeholders including public, juries, the judiciary, other court and tribunal users and representatives of other agencies and organisations on resource issues
* Assist the Presiding and/or Family Liaison Judges or their representatives as directed
* Accountability: Reporting to the Judicial Liaison Officer


Other duties

* Work in a flexible way and undertake any other duties reasonably requested by line management, commensurate with the grade and level of responsibility of this post
* Occasional travel to York House, Leeds, LS1 2ED is required
* Applications for part-time working would be considered, but minimum hours are 3 days per week (7 hours 24 mins per day)


Working arrangements

The MoJ offers Hybrid Working arrangements where business need allows. This role can be worked in the UK only and not overseas. All employees spend a minimum of 60% of working time in an office, subject to local estate capacity. Arrangements will be discussed and agreed with the successful candidate(s) and reviewed regularly. For nationally advertised roles, candidates will be appointed to the nearest viable office to their home postcode, at a HQ building or a Justice Collaboration Centre (JCC) or Justice Satellite Office (JSO). For current MoJ employees, base location will be changed to the nearest viable office and moved to the relevant pay scale. Some MoJ terms and conditions are changing as part of Civil Service reform.
