Job Summary
Dumfries and Galloway Council is seeking to appoint an Administrative Assistant to support the effective running of a secondary school office. The postholder will provide administrative assistance to the Head Teacher and School Support Manager and will have responsibility for supervising clerical assistants where required.
This role is central to ensuring efficient school operations, accurate record keeping, and the provision of high-quality administrative services to staff, pupils, parents, and external stakeholders.
The successful candidate will be required to:
1. Assist with the organisation of the school office and allocation of duties.
2. Manage correspondence on behalf of the Head Teacher and staff.
3. Maintain pupil and staff records, including use of SEEMiS and associated systems.
4. Support pupil admissions, leavers, and reporting processes.
5. Provide clerical support for meetings, including minute-taking.
6. Undertake financial administration, including requisitions, invoices, and banking.
7. Support school events, awards, and communications.
8. Provide reception and telephone support.

Applicants must be educated to SCQF Level 6 (e.g. National Certificate/Higher) or equivalent, with proven experience of working in an office environment, including the processing of financial documentation. They should be proficient in the use of Microsoft Office packages and standard office systems, and demonstrate strong organisational and interpersonal skills with the ability to prioritise tasks effectively. A high level of discretion, confidentiality and reliability is essential for this role.
This post is considered as Regulated Work with Vulnerable Children, under the Protection of Vulnerable Groups (Scotland) Act. From 28 February, preferred candidates will be required to join the PVG Scheme or undergo a PVG scheme update check prior to formal offer of employment being made by Dumfries and Galloway Council.
