Customer Service and Logistics Administrator - Fixed Term

We have a great opportunity to join our small team at one of our newest manufacturing facilities. Your role is responsible for coordinating order processing, managing customer inquiries and ensuring an efficient and timely delivery of goods. The role acts as a key link between customers, the sales team and logistics.

This is a fixed term contract role, 9-12 months, covering a maternity leave period.

Key Responsibilities

* Customer Service: Respond to customer inquiries via phone, email, or other communication channels; provide accurate product, pricing, and delivery information; handle complaints or issues professionally, aiming for quick and effective resolution; maintain a positive and professional customer relationship at all times.
* Order Processing & Administration: Receive, process, and confirm customer orders; verify product availability and coordinate with relevant departments to ensure fulfilment; maintain accurate records in AX, including delivery dates and pricing; prepare and issue invoices, delivery notes, and other required documentation.
* Planning & Scheduling: Develop and maintain short-term and long-term plans for production; create and update schedules based on demand forecasts, resource availability, and operational constraints through the Demand and Supply (MRP) tool; create OF’s in AX and export to Preactor for production scheduling; monitor progress against the plan and adjust as necessary to meet deadlines; ending OF’s, ensuring consumption, picking lists are correct and pallets are booked in to the correct qty and location
* Demand & Supply Coordination: Analyse demand forecasts and translate them into actionable production plans; coordinate with warehouse and production teams to ensure material availability; anticipate shortages or surpluses and take corrective actions.
* Order Management: Prepare and issue purchase orders; track and expedite orders to ensure timely delivery; resolve any discrepancies in orders, deliveries, or invoices; Office management - welcome and sign in visitors. Answer phones; maintain phone lists. Arrange travel for others – flights/hotels/taxis. Booking and collection of visitor lunches. Arranging printer/photocopier servicing. Other relevant administrative tasks.
* Logistics Coordination: Arrange transportation and delivery schedules with internal teams and external logistics partners; track shipments and update customers on delivery status; manage returns, exchanges, and damaged goods processes; ensure compliance with shipping regulations and company procedures.
* Reporting & Communication: Maintain and update customer and shipment records for reporting purposes; provide regular updates to management on order status, delivery performance and customer issues; collaborate with warehouse, production, and finance teams to ensure smooth operations; strong communication and interpersonal skills; experience within a customer service department and ideally some experience of planning and scheduling; excellent organisational and time-management abilities; attention to detail and accuracy in data handling; ability to multitask and work under pressure; proficiency in MS Office and order/logistics management systems; problem-solving and conflict resolution skills.
