Clinical Admin Officer - General Surgery
We are pleased to offer an exciting opportunity for a Clinical Administration Officer to join the Vascular Team at Frimley Park Hospital. This is a busy, office-based role providing essential administrative support, with patient contact primarily via telephone, email and the EPIC system.
The successful candidate will demonstrate exceptional accuracy and attention to detail, and will thrive in a fast-paced environment. You will be well organised, adaptable and enthusiastic, with strong interpersonal and time-management skills and a commitment to delivering high-quality administrative support.
This role offers the opportunity to work closely with Consultants and their wider clinical teams, including Resident Doctors and Clinical Nurse Specialists. It is ideally suited to candidates with proven administrative experience and a positive, flexible approach to change.
* Location: This role is fully on-site at Frimley Park Hospital (office based; not hybrid).
* Please note: This is an administrative position and does not involve direct clinical or medical duties.
* Visa Sponsorship: This position is not eligible for Skilled worker visa sponsorship. Applicants must already hold right to work in the UK for the full duration of the contract.
Main duties of the job
* Provide a flexible, responsive and high-quality administrative service to the department, adapting to changing service needs.
* Plan and organise own workload effectively using appropriate planning tools, demonstrating strong time-management skills and proactively escalating any potential issues in meeting deadlines.
* Act on Consultants' requests, including the preparation and processing of urgent correspondence, medico-legal reports and other ad-hoc administrative tasks, in line with Trust policies and procedures.
* Gather, organise and maintain information to support work activities, ensuring strict confidentiality is maintained at all times in accordance with organisational and information governance requirements.
* Respond promptly, professionally and courteously to enquiries from colleagues, GPs and patients.
* Ensure secure storage and appropriate management of all records and resources, including electronic and computerised information.
* Scan and upload relevant patient documentation accurately to the Trust's Electronic Patient Record (EPR) system.
* Support clinicians with generating and sending correspondence via EPIC, including resolving incomplete patient details and attaching relevant documentation as required.
* Manage incoming and outgoing telephone calls efficiently, ensuring all calls are handled in a timely, professional and patient-focused manner.
Qualifications
* NVQ Level 3 Administration or equivalent practical knowledge
* Previous experience as a Medical Secretary or similar

* Recent experience of working in an office environment
* Competent with current software programmes (i.e. MS Word, Excel, PowerPoint)
* Be able to work in a busy environment and remain calm under pressure
* Recent experience of working within a team environment
* Working in the NHS either in a hospital/private practice/GP setting
* Experience of direct contact with patients
