In this role, you will be responsible for undertaking a wide range of duties, including greeting and directing patients in person and via telephone, effectively using the appointment system, booking appointments, processing information, and assisting patients as required.


Main duties of the job

* Maintaining and monitoring the practice appointment system
* Processing personal, phone, and e-requests for appointments
* Answering incoming calls and dealing with callers' requests appropriately
* Signposting patients to the correct services
* Providing administrative support as needed
* Providing general assistance to the practice team
* Providing a positive and friendly image to patients and visitors

This list is not exhaustive, and there may be a requirement to carry out other tasks as requested.


About us

Bankhouse Surgery has 6 GP partners and 1 salaried GP. We are a teaching practice supporting medical students, with a nursing and admin team. The surgery provides services to 10,500 patients, making this a busy role.


Job responsibilities

* Opening and closing the practice premises and maintaining security according to protocols, ensuring the end-of-day checklist is completed
* Processing requests for appointments, home visits, and telephone consultations, and directing callers to the appropriate healthcare professional
* Welcoming patients attending for appointments and noting their arrival on the system
* Processing and distributing mail
* Taking messages and passing information to staff and external providers
* Booking ambulances as instructed by doctors
* Filing and retrieving paperwork
* Processing repeat prescriptions following guidelines
* Data entry, collation, and recording in accordance with procedures
* Responding to requests from patients, staff, and healthcare agencies
* Providing clerical support such as word processing, filing, photocopying, and scanning
* Supporting practice management, including recording patient data
* Maintaining the reception area, notice boards, and leaflet dispensers
* Providing cover for colleagues during holidays or sickness upon request
* Typing mail letters as required
* Accepting cash or cheque payments for services in accordance with policies


Person Specification


Qualifications

* Good standard of general education
* Maths C or above or equivalent
* English C or above or equivalent


Experience

* Experience working with the general public
