Project Administrator - OSA Contract
Location: East Kilbride
Contract Type: One-Year Fixed Term
Reporting To: Project Manager / Contract Manager
We are seeking a highly organised and proactive Project Administrator to support the OSA Contract team. This role plays a key part in ensuring the smooth day-to-day administration of projects, supporting project delivery through accurate processing, coordination, and communication.
The successful candidate will be responsible for tasks including processing DFEs, preparing estimate invoicing, managing daily job intakes, coordinating subcontractor instructions, and submitting documentation to the client. Strong attention to detail, the ability to manage multiple priorities, and effective communication skills are essential for success in this role.
Key Responsibilities
* Process Design for Excellence (DFE) documentation efficiently and accurately
* Prepare and manage estimate invoicing in line with project milestones and activities
* Review and validate daily new job intakes to ensure accuracy and completeness
* Issue work instructions and orders to subcontractors in a timely manner
* Submit Date Change Requests (DCRs) and other required documentation to the client
* Provide administrative support to Project Managers, including ad-hoc tasks as required
* Maintain accurate records and ensure project databases and in-house systems are kept up to date (training provided)
* Liaise with internal teams, subcontractors, and clients to support smooth project delivery
* Use Microsoft Excel for data tracking, reporting, and analysis
Skills & Experience
* Previous experience in a Project Administrator or similar role is desirable
* Experience within construction, engineering, telecoms, or a related industry is advantageous
* Good working knowledge of Microsoft Excel
* Strong organisational skills with the ability to multitask and prioritise effectively
* Excellent written and verbal communication skills
* High attention to detail with a commitment to accuracy and quality
* Ability to work both independently and as part of a team
* Willingness to learn and adapt to new systems and processes, with training provided
