The Assistant Workplace Manager is a mobile role supporting the Workplace Management team. The post holder is the face of Workplace Services, monitoring supplier performance, managing supplier relationships and ensuring contractual and compliance standards are met across the GPA portfolio of sites in Leeds, York, Sheffield and Cumbria. The role focuses on the mobile management of GPA properties and involves tracking supplier performance using the GPA digital CAFM and reporting systems (Planon, Power BI, Salesforce), resolving client issues, supporting contract variation processes and contributing to operational risk and financial approval processes.
Key Responsibilities
* Support senior management by monitoring supplier performance and using GPA’s digital reporting tools.
* Capture and resolve customer issues and complaints from client organisations via the GPA CRM (Salesforce) or Helpdesk, escalating to workplace managers as required.
* Support the management of GPA supply‑chain partners to meet contractual and compliance targets.
* Deliver or support the delivery of GPA‑sponsored internal audits across the allocated portfolio.
* Participate in GPA supplier self‑audits, tracking progress against agreed actions and remedial work orders.
* Participate in the GPA Tier 1 governance meetings with suppliers and stakeholders.
* Track progress and raise new and emerging operational risks to senior management and maintain the region’s Operational Risk Register.
* Assist with contract variation, risk notices and contract notices using GPA data systems.
* Review and update contractual service details for each property via agreed variation/scheduling and commercial processes.
* Manage key functions across the region, including client/contract spend data and change control registers.
* Monitor and update contractual change‑control registers and ensure accuracy in GPA’s digital repositories.
* Manage and monitor group email accounts.
* Assist with team performance by managing action logs/trackers, audit preparation and tracking progress against deadlines.
* Support financial approvals for billable works cost‑file submissions and ensure contractual payment requirements are met.
* Work with senior management to develop and improve working practices and systems.
* Participate in any reasonable ad‑hoc requests issued by senior management.
External Interfaces
* Managing external interfaces such as landlord services under a service charge in collaboration with GPA Asset Management.
* Co‑operate with internal teams (Security, IT, H&S, Engineering, Sustainability, Social Value, LCM) to maintain contractual and statutory compliance.
* Collaborate with the workplace services assurance team to produce timely client compliance data.
* Collaborate with GPA commercial and contract lifecycle management teams to ensure system development needs are met.
* Provide local knowledge to GPA Asset Management regarding landlords/managing agents on service deficiencies.
* Identify opportunities to deliver portfolio strategic and individual property efficiency, sustainability and environmental savings.
* Provide support to Workplace Services Projects team for Government Soft Landings (GSL) initiatives.
