We are excited to announce a new opening for an Administration Support role within our Branch Maintenance Team at Timpson House. This position is critical for maintaining smooth operations within our maintenance department, providing vital administrative support to ensure efficiency and responsiveness in handling maintenance requests.
Job Position: Administration Support
Location: Timpson House, Wythenshawe, Manchester
Hours of work will 9-5 pm, 5 days a week.
Key Responsibilities:
- Maintenance Helpdesk Operations:Collaborate closely with the Maintenance Support Manager to manage administrative functions related to all maintenance helpdesk calls. Assessing and reacting to incoming requests promptly and efficiently is essential.
- Job Logging & Tracking:Utilize our in-house IT software system to log all reactive maintenance job requests. Continuously monitor, track, and update the status of each job as it progresses through the system.
- Effective Communication: Maintain clear and effective communication with area teams regarding the status of ongoing jobs. Provide regular updates to ensure all stakeholders are informed.
- Branch Liaison: Work alongside branch colleagues to verify that all maintenance jobs are completed effectively. Ensure accurate and timely updates are made within the IT system to reflect job closure.
- Contractor Engagement: Engage with building and property maintenance contractors to obtain quotations for repair works. Negotiate pricing to achieve cost-effective solutions for small repair projects.
- Job Monitoring: Proactively liaise with contractors to check on job progress and updates, ensuring that Timpson receives the best value for services rendered.
- Security Management: Take on responsibilities for Timpson House security, which may involve occasional out-of-hours callouts. Your vigilance ensures safety for all staff and premises.
- Garden and Window Maintenance Coordination: Work with Gardners and Window Cleaners at the Wythenshawe 4 sites, ensuring their timely attendance to complete scheduled works in line with service agreements.
- Invoice Processing: Prepare contractor invoices for payment, address any discrepancies with the contractors, and set up new supplier accounts as necessary.
- Department Administration: Perform general administrative duties within the Maintenance Support Department, including scanning, renaming, and properly saving documents to our electronic branch files.
- General Duties: Fulfill any additional responsibilities as required within the Maintenance Support Department to promote team efficiency and effectiveness.
Ideal Candidate Profile:
We are looking for an enthusiastic candidate with the following skills and experience:
- Administrative Experience: Previous experience in an administrative role, preferably in maintenance administration or related fields; familiarity with logging requests to contractors is highly desirable.
- Prioritization Skills: Demonstrated ability to prioritize workload effectively and adapt to changing demands and situations.
- Technical Proficiency: Proficient in Microsoft Office Suite and Excel, with strong computer skills to manage various software systems.
- Team Player: Ability to work collaboratively within a team environment, showcasing an outgoing personality and willingness to support team members.
- Customer-Centric Attitude: An earnest commitment to going the extra mile for customers, demonstrating kindness and care in interactions.
- Communication Skills: Strong verbal and written communication skills with a professional telephone manner, ensuring clear and effective communication with all stakeholders.
- Organizational and Problem-Solving Skills: Exceptional organizational skills, coupled with the ability to identify and resolve problems efficiently as they arise.
