Patient Transport Booking Clerk

The closing date is 04 May 2026

University Hospitals of North Midlands is currently unable to provide sponsorship for this role. This role meets UKVI guidelines; if you hold a graduate visa, you must have at least six months until visa expiry at the start of employment.

The patient transport booking service runs 08:00‑18:00, Monday to Friday. We are seeking two Booking Clerks to work 35 and 30 hours per week with a flexible approach.

The tasks involve taking bookings, responding to enquiries, liaising with Trust staff, other NHS Trusts and Healthcare establishments, inputting data, and completing logs.


Main duties of the job

* Work within a team to arrange patient transport for the Trust, General Practitioners, patients, and other healthcare establishments.
* Liaise with ambulance contracts and service users to ensure patients travel within contract standards and maintain communication at all times.
* Provide a customer‑responsive service with emphasis on quality.


Job responsibilities

* Work as part of a customer service team in the delivery of Patient Transport Booking services in a busy and demanding call centre environment.
* Use telecommunications and office equipment to execute duties.
* Receive patient transport bookings by telephone or email.
* Input data onto bespoke computer software.
* Develop and maintain effective communication links with hospital staff, General Practitioners, patients, ambulance services and other external organisations to deliver high quality customer service.
* Respond to enquiries and resolve difficulties with empathy and assertiveness.
* Respond to complaints concerning service issues positively and in line with departmental guidelines.
* Run and implement daily reports from patient record systems, reporting discrepancies promptly.
* Arrange ambulance transport for patients attending clinics over Christmas and New Year.
* Plan, allocate, and control additional ambulance resources as required.
* Develop awareness of ambulance contracts.
* Liaise with Trust staff, General Practitioners, patients, and other NHS Trusts and healthcare establishments to ensure secure transport and avoid duplicated requests.
* Record and archive information within statutory requirements.
* Raise transport difficulties to senior staff promptly.
* Contribute to maintenance of departmental procedures manuals and standard operating procedures.
* Maintain effective inter‑departmental communication links.
* Participate in training and development of trainees within the department.


Person Specification


Education & Experience

* Educated to GCSE standard.
* Efficient keyboard skills and computer literacy.
* Proven experience in a customer service environment.
* Proven experience with telephone interface, Netcall or similar.
* Ability to analyse information and prioritise; learn, retain and recall information.
* Experience producing work in a Windows environment, including basic documents and database entry/searches in Microsoft Word and Excel.
* Experience working within a healthcare environment.
* Experience working in a call centre or booking office.
* Experience working in Patient Transport Services.
* Able to demonstrate resourcefulness and work on own initiative.
* Able to display a calm and rational approach to difficult situations, demonstrating empathy and assertiveness where appropriate.
* Possess a friendly outgoing personality and build effective working relationships with service users.
