Job Description
1. Purchase Ledger (60%):
* Process and record purchase invoices accurately and efficiently.
* Verify and reconcile supplier statements to ensure accuracy of accounts payable.
* Communicate with vendors to resolve any discrepancies and address payment inquiries.
* Assist in the preparation of payment runs and ensure timely payment to suppliers.
* Maintain organised documentation for audit and reference purposes.
* Collaborate with the Purchasing team to ensure proper coding and approvals of invoices.
2. Sales Ledger Support (40%):
* Collaborate with the Sales Ledger Controller to manage customer accounts and invoices.
* Assist in posting and allocating customer payments accurately in a timely manner.
* Monitor customer accounts for overdue payments and initiate appropriate actions.
* Provide outstanding customer service by responding promptly to payment inquiries and discrepancies.
* Collaborate with the Sales team to ensure accurate invoicing and resolve billing discrepancies.
* Receive comprehensive training to become proficient in the Sales Ledger function.
3. Team Collaboration:
* Work closely with cross-functional teams, including Purchasing, Sales, and Operations, to ensure accurate and timely financial data.
* Collaborate with colleagues to identify process improvement opportunities and contribute to enhancing departmental efficiency.
4. Reporting and Documentation:
* Generate and maintain reports related to accounts payable and accounts receivable.
* Assist in month-end and year-end closing processes by providing accurate and organised data.
* Ensure proper filing and documentation of financial records in compliance with company policies and audit standards.
5. Communication:
* Communicate effectively with internal stakeholders, vendors, and customers to resolve inquiries and discrepancies in a professional and timely manner.
* Provide regular updates to the Sales Ledger Controller and Head of Finance on the status of accounts payable and receivable.
Qualifications:
* Strong attention to detail and accuracy in data entry and financial record maintenance.
* Excellent communication skills, both written and verbal.
* Proficiency in Microsoft Excel and other relevant accounting software.
* Previous experience in a finance or accounting role is desirable.
* Ability to work independently and collaboratively within a team environment.
* Strong organisational skills and ability to manage multiple tasks simultaneously.
* Demonstrated problem-solving skills and a proactive attitude.
* Willingness to learn and adapt to new tasks and responsibilities.
Reporting Structure: This position reports to the Head of Finance and will work closely with the Sales and Purchase Ledger Controllers.
