We’re looking for a Management Assistant to join us to provide support to two of our General Managers of Alliance Management,, as well as supporting their Business Managers. Together, they run a very busy team that is focused on delivering major projects through to completion all over Scotland as part of the wider Capital Investment team, as well as preparing Scottish Water for the next transitionary business period. These services are delivered by a highly skilled team of over 50 people across a number of office locations throughout Scotland.
What you’ll do
There are some administrative duties. You’d be overseeing mailboxes, managing calendars, arranging meetings, booking venues, coordinating travel arrangements, gathering and reviewing performance information, preparing Powerpoint slides, updating Sharepoint sites, handling expenses and all the things you’d expect. You’ll be on hand in providing support on projects, and make sure agreed actions are completed, and time isn’t wasted. You can expect to be pulling reports, handling information requests, or collating information for the team.
This is more than simply a PA role though. We want you to take on and lead our Employee Experience Plan that covers all aspects of sustaining the motivation and wellbeing of our employees, as we embark on a significant period of change over the coming years. Our Management Assistants also often play a big role in designing and coordinating events, often working together with their counterparts from around the business.
And expect to play a big part in terms of internal communications within your part of the business, being able to relay key messages to and from the wider team.
What you’ll need
You’ll have some experience in an administrative role, ideally as a team administrator or personal assistant (PA), with the ability to adapt your style to work with a variety of leaders.
A whizz on Microsoft Office, you’ll also be comfortable with learning other software packages, e.g. so you can raise POs, or submit expenses.
You’ll be a friendly and approachable person who loves to help. You’ll be really organised and quickly be able to get to grips with your team’s key priorities.
You’re not someone who passively waits for instructions. You like to keep tabs on things and make sure everything is ticking along the way it should. And you’re no soft touch – you’ll be quite comfortable pushing back and saying no, if a request is unreasonable.

Whereas this role might suite someone with relevant business experience, it may also suite a graduate looking to take their first progressive steps into the business world.

This is a full time (35 hours per week) role and the working hours are Monday to Friday, from 9.00 am until 5.00 pm. However, we are also happy to look at alternative working patterns, and a degree of flexibility is required.
You’ll get plenty of time to recharge with 38 days of holiday every year (including public holidays). And you can even buy five more if you need a little extra time. You can also take paid time off to volunteer in your community 2 days per year.

The not-so-small print
This role will be a Grade 3. If you’re new to Scottish Water, you’ll join us on a starting salary of £25,980. Performance-driven pay progression would then allow you to move through the range to a maximum of £30,000.
