Valid8 IP Limited, a growing data services firm, is seeking a proactive Sales Administration Assistant to join our team in Altrincham. This is an exciting opportunity to build strong relationships with professional introducers and help clients access innovative, data-driven solutions.


The Role

We are seeking a proactive Sales Administration Assistant to support business development and client engagement. You’ll manage client onboarding, build lasting relationships, and act as the main contact for queries and support.

The role includes presenting our services via phone, video, and webinars, coordinating meetings, and supporting outreach through HubSpot, Apollo.io, and LinkedIn. You will maintain accurate CRM records, assist with campaigns, and ensure all activity meets GDPR and FCA standards.

You will work closely with the Business Development Manager and wider team to keep operations running smoothly and compliantly, with a strong focus on client experience.


Skills and Experience Required

• Proven experience in account management or business development, with confidence engaging clients via phone, video, and webinars. Skilled in building strong relationships and supporting onboarding sessions.

• Strong written and verbal communication skills, with the ability to manage multiple tasks and clients in a fast-paced environment.

• Familiar with CRM platforms (HubSpot preferred along with other outreach tools such as Apollo.io, LinkedIn), and Microsoft Excel.

• Basic understanding of GDPR and FCA/SRA-aligned practices (or willingness to learn). Professional, discreet, and experienced in handling sensitive data within regulated environments.

• Experience working in an office or professional environment


Key Attributes

• Professional written and verbal communication across phone, video, and email; confident drafting client-facing materials and follow-ups.

• Highly organised with strong attention to detail; able to manage multiple tasks and clients in a fast-paced environment.

• Proactive, self-motivated, and collaborative; works well with sales and development teams to support onboarding and process improvement.

• Comfortable using Microsoft Excel and CRM platforms (HubSpot preferred); quick to learn new systems and committed to data accuracy and audit trail maintenance.

• Discreet and professional when handling sensitive information; basic understanding of GDPR and FCA/SRA compliance, or willingness to learn.


Key Responsibilities

• Manage client onboarding from sign-up to go-live, acting as the first point of contact for queries and support.

• Build long-term client relationships, present Valid8 IP’s services via phone, video, and webinars, and support retention and growth.

• Stay informed on product developments and market trends to support introducers and ensure accurate messaging.

• Manage outreach via LinkedIn, HubSpot, and Apollo.io, maintaining accurate CRM records and tracking engagement.

• Coordinate meetings, manage diaries, oversee shared inboxes, and support sales activity with timely follow-ups and documentation.

• Handle admin tasks, maintain version-controlled documents, and ensure compliance with GDPR, FCA requirements.


Package & Benefits

• Salary: £24,000–£28,000 (dependent on experience)

• Company pension scheme

• 37.5 hours per week
