We are looking for a Vehicle Operations Controller to join our growing Vehicle Operations team as our fleet continues to scale. This is a fantastic entry point into our Vehicle Operations team and a chance to help us deliver our mission of making the transition to zero-carbon driving seamless.

Our customers love us (Excellent Trustpilot rating!), and a huge part of that is how we look after them when their car is off the road. Your mission is to help keep things moving. You will provide vital support to the wider team, ensuring that dealerships and body shops stay on track, our drivers get their cars back quickly, and our fleet costs are kept under control.

In this role, you will work closely with our Vehicle Operations Specialists, to ensure vehicle repairs stay on track, drivers remain supported, and our partners deliver against their commitments.

You’ll play an important operational role coordinating with dealerships, manufacturers and repair partners to ensure repairs progress efficiently, hire vehicles are managed appropriately, and our drivers feel supported throughout the process.

This role requires someone who is organised, proactive and confident in communicating with both drivers and partners, while ensuring cases are progressed and escalated when required.


What you\'ll do

* Manage Repair Progress: Act as a key contact for dealerships and body shops, proactively checking in via phone and email to ensure vehicle repairs are progressing and downtime is kept to a minimum.
* Work Across our Dealer Network: Work closely with our Network Manager and Dealer Operations team to build strong relationships across our dealership network. You\u2019ll help develop a reliable portfolio of repair partners that the downtime team can confidently rely on to support our drivers.
* Monitor Hire Vehicle Usage: Track hire vehicles across active cases to ensure drivers remain mobile while their vehicle is being repaired and help the team manage hire durations effectively.
* Support Cost Recovery: Assist the team in gathering the necessary information from OEMs and partners to support recovery of hire costs where repairs have been delayed.
* Identify Issues and Escalate: Recognise when repairs are not progressing as expected and escalate or hand cases over to a Vehicle Operations Specialist where required. Clear handovers ensure compliance is maintained and the right expertise is applied at the right time.
* Maintain Accurate Records: Ensure all updates are captured accurately in our internal systems so the wider team always has visibility of each case and the next steps required.
* Exceptional Organisation: You\u2019ll be tracking multiple vehicle updates at once; being a natural "finisher" who leaves no loose ends is essential.
* A Desire to Learn: You are excited to start your career in a fast-paced environment and are comfortable adopting new processes as the team grows.


What you\'ll need

* Motor Industry Experience: Experience within the motor industry (dealership, fleet, service desk or similar). You should understand the difference between a dealership and manufacturer and how repairs and service processes typically operate.
* Understand the Automotive Structure: Develop a clear understanding of how dealerships and manufacturers operate, including the hierarchy within dealership service teams. Knowing who to speak to and how to move issues forward quickly will be key to success in this role.
* A \u2018Phone-First\u2019 Approach: You understand that a quick phone call is often the best way to get an update. You are comfortable picking up the phone to get things moving.
* Relationship Building: Able to build strong working relationships with dealers and partners while knowing when to be persistent to ensure progress for our drivers.
* Organisation & Prioritisation: Comfortable managing multiple vehicle updates at once. You are organised, proactive and able to keep track of numerous moving parts.
* Attention to detail: You take pride in maintaining accurate records and ensuring all updates and next actions are clearly documented.
* Team-Oriented Approach: You understand when to progress a case independently and when to involve a Vehicle Operations Specialist to ensure the best outcome for our drivers.
* Adaptability: You’re comfortable working in a fast-growing environment where processes evolve as the fleet and team expand.
